About Us

Established in 2002, Greenhouse Sports is a youth charity using sport to drive social mobility. This means we’re intentional in our use of sport to support social change. Sport is our hook to engage young people, and one of the vehicles we use to support youth development. But we’re not here to create elite athletes or tackle physical inactivity. Instead, we create opportunities for young people to recognise their strengths and develop the skills they need to thrive, now and in the future.

Working across London, Portsmouth and Leicester, specifically in areas of high deprivation, we embed evidence-based positive youth development programmes into primary and secondary schools. These programmes are delivered by our trusted, high-quality Coach-Mentors who deliver year-round to ensure that young people have access to sport, mentoring, enrichment and employability activities. Every year, we support over 9,000 young people to attend school more often, improve their wellbeing and raise their aspirations, transforming life chances in the communities that need us most.

Purpose of the Role

You will be a strategic partner to the CEO and Senior Leadership Team, operating at the heart of the organisation to enable effective leadership, decision-making and delivery. This role requires strategic project management, stakeholder engagement and organisational coordination. Acting as an extension of the CEO, you will help ensure priorities remain aligned, actions are delivered and the leadership team operates effectively in pursuit of Greenhouse's mission. Additionally, you will provide senior level executive support to the CEO. You will be passionate about our purpose and committed to making a meaningful difference for young people. As a trusted representative of the organisation, you will build strong relationships with colleagues, partners, donors and other key stakeholders.

Senior Leadership Team Support & Coordination

  • Serve as a key point of coordination for the Senior Leadership Team, driving alignment, communication and accountability across the organisation.
  • Organise and facilitate SLT meetings, including agenda planning, preparation of papers, minute-taking, action tracking and follow-up.
  • Ensure actions arising from SLT meetings are clearly assigned, monitored and progressed to completion.
  • Support the CEO and SLT in translating strategic objectives into actionable plans and tracking delivery against agreed priorities.
  • Coordinate leadership away days, strategic reviews, planning cycles and organisational planning activities.
  • Build effective working relationships with department leads to support collaboration and alignment across functions.

Strategic Planning & Business Operations

  • Lead and coordinate projects and strategic initiatives on behalf of the CEO, ensuring delivery against agreed objectives, timescales and outcomes.
  • Track progress against organisational objectives, providing oversight of actions, risks, dependencies and deadlines.
  • Produce executive reports, dashboards and briefing papers to support strategic decision-making.
  • Support governance activities where required, including preparation of papers, actions and documentation for Board, Committee and Trustee meetings.
  • Drive business improvement initiatives that enhance efficiency, consistency and effectiveness across executive and organisational processes.

Stakeholder & Relationship Management

  • Build and maintain strong relationships with internal and external stakeholders, including partners, funders, trustees and senior leaders.
  • Facilitate effective communication between the CEO, SLT and wider organisation, ensuring key messages and priorities are clearly communicated and understood.
  • Act as a professional representative of the CEO and SLT in meetings, correspondence and stakeholder interactions where appropriate.

Organisational Effectiveness & Change Support

  • Identify risks, bottlenecks and competing priorities, escalating issues and recommending solutions where appropriate.
  • Continuously review and improve executive and organisational processes to increase efficiency and effectiveness.
  • Support change initiatives and organisational development activities aligned to Greenhouse's strategic objectives.
  • Support the planning and delivery of organisation-wide events, staff engagement initiatives and cultural activities.
  • Mentor and support junior colleagues, sharing knowledge and promoting best practice across the organisation.
  • Contribute positively to leadership discussions and demonstrate a collaborative, solutions-focused approach to challenges and opportunities.

Executive Support to the CEO

  • Act as a trusted partner to the CEO, providing proactive, high-level support to maximise effectiveness and focus on strategic priorities.
  • Manage and prioritise the CEO's complex and dynamic diary, inbox and commitments, ensuring alignment with organisational priorities.
  • Exercise sound judgement in managing competing demands, anticipating needs, risks and opportunities while acting as an effective gatekeeper and maintaining strong stakeholder relationships.
  • Coordinate all travel, accommodation, expenses and logistics for the CEO.
  • Prepare executive briefings, correspondence, presentations, reports and meeting materials to support informed decision-making.
  • Proofread and quality assure high-profile communications, proposals, reports and presentations, ensuring consistency, accuracy and professionalism.
  • Provide executive support to other members of the SLT as required.

Skills

  • Proven ability to build trusted relationships and influence effectively at all levels of an organisation, including senior leaders, trustees, funders and external partners.
  • Exceptional written communication skills, with experience preparing reports, executive briefings, presentations, policies and stakeholder communications.
  • Demonstrable experience managing competing priorities, exercising sound judgement and operating effectively within a highly confidential environment.
  • Experience drafting, reviewing and implementing organisational policies, procedures and governance documentation.
  • Strong business acumen with the ability to understand organisational priorities, identify risks and recommend solutions.
  • Significant experience providing executive-level support to a CEO, Executive Director, Board or Senior Leadership Team within a complex and fast-paced environment.
  • Highly proficient in Microsoft 365, including Outlook, Teams, Word, Excel and PowerPoint, with confidence using project management, collaboration and reporting tools.
  • A track record of improving processes, systems and ways of working to increase organisational effectiveness.
  • Experience working across multiple functions, building alignment and enabling effective communication between teams.
  • Passion for Greenhouse's mission and commitment to making a positive difference for young people.
  • Proven experience leading and delivering cross-functional projects involving multiple stakeholders, with the ability to manage multiple workstreams and drive successful outcomes.
