We invite applications to join our Living Well/Neighbourhood Mental Health Teams across Manchester. Living Well is a service co‑designed with people who have lived experience, created to bridge the gap between primary and secondary mental health services. Working alongside GMMH and VCSE organisations, we provide support that is trauma‑informed, holistic, person‑led and rooted in the community.
The post holder will provide a confidential and efficient administrative service to the Living Well Team. This includes managing incoming referrals, sending appointment letters, handling all telephone enquiries, and ensuring information is passed on promptly and accurately. You will play a central role in supporting the smooth running of the service.

Main duties of the job:
- Provide admin support to the Living Well team in relation to correspondence with service users and entering data on our clinical systems.
- Supporting the team with rotas and room bookings.
- Dealing with all incoming and outgoing mail: processing, distributing and responding as appropriate.
- Supporting the team to make onward referrals.
- Supporting the team with recording outcome measure data.
- Co‑ordinate and facilitate the dissemination of information to and from the team.
- Producing minutes from various meetings as required.
- Logging referrals as per the requirements of the team.
Person specification:
Education and Qualifications:- Good Level of Maths and English including a recognisable qualification.
- Recognised competency‑based level 3 qualification in a relevant subject (e.g. NVQ, BTEC QCF, Apprenticeship), or equivalent demonstrable experience.
- Other relevant IT qualifications or additional training (e.g. Office certification).
- Experience working in a busy office environment that works to deadlines or service level agreements.
- Experience of working in an office environment that requires confidentiality be maintained at all times.
- Experience of working with members of the general public.
- Experience of working with face‑to‑face and telephone contact with users of a health service.
- Familiar with typical office equipment and administrative procedures.
- Working knowledge of the Data Protection Act as it applies to storage and handling of client information and requests.
- Aware of issues related to client confidentiality and handling of highly sensitive information.
- An awareness and understanding of typical Mental Health issues and challenges that might be experienced by clients of our service.
- Effective time‑management skills and ability to organise your own workload under supervision.
- The ability to prioritise and plan complex and sometimes conflicting work demands.
- The ability to navigate IT systems, including Excel, Word, Outlook, MS Teams and PowerPoint and be a source of expertise within the Team.
- A caring and sensitive attitude when communicating with staff and patients.
- Be able to travel and work flexibly across Manchester sites.
- Be helpful and approachable.
- Previous experience in patient administration or a demonstrably similar role.
- Clear commitment to working in alignment with the values of GMMH.
- Understanding of the role of an administration team in supporting the delivery of excellent care.
- Experience of working within the NHS or similar values‑based frameworks.
