The purpose of this post is to provide a comprehensive administrative service across the 24/7 All Age Trust Crisis Helpline/NHS 111 Mental Health Dial 2 and GM MHUT. This role will involve the use of Microsoft Office Packages to provide a high-quality administrative service to the teams, typing of letters and reports and completing ad-hoc requests as required, including the use of NHS systems. The role will also involve data collection and monitoring, extracting data from various systems and reporting as required, providing support for meetings including detailed minutes, organisation of meetings and preparation of agenda and papers for meetings. The postholder will have excellent organisational skills and time management skills with the ability to prioritise a busy workload in a fast-paced office environment.

Main duties of the job include:

  • Providing an array of administrative support to the wider Emergency and Urgent Care teams, 24/7 All ages Crisis Helpline Team and the NHS 111 Option 2 service.
  • Typing of letters and reports, ensuring data is accurate and updated as required.
  • Utilising skills for any ad-hoc requests from the team.
  • Maintaining administration duties, using the NHS System Paris and prioritising workload.
  • Competent in using Microsoft Office to produce documents, photocopying, filing, organising and minuting meetings.
  • Stationery stock control and ordering on Supplychain, Integra etc as required.
  • Supporting management by using the NHS.

Person specification:

  • Essential criteria:
    • NVQ Level 2 or equivalent experience.
    • Experience of working in administration.
    • Experience of using NHS systems.
    • Experience of using Microsoft Office.
  • Desirable criteria:
    • OCR Word processing II or equivalent.
    • Experience of using Microsoft packages to produce documents.
    • Experience of using NHS systems, such as Paris, Micad, Supplychain.
    • Previous experience in supporting senior managers.

The Trust mandates all post holders who require a DBS for their role to subscribe to the DBS Update Service. You will be required to enrol for this service for a fee of £16 per year and maintain registration throughout your employment with GMMH.
