The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate, expected to work quickly, proactively, and accurately in a fast-paced environment to deliver a high-quality and comprehensive service. The post holder will liaise with a variety of internal and external customers, building excellent working relationships to provide an efficient, effective, and professional reception service. They will work as part of the Facilities Team, providing flexible support to colleagues, including covering for colleagues when necessary. Full training will be provided.

Responsibilities include:

  • Assisting with room booking requests and queries via telephone or email, booking rooms on behalf of users, and escalating issues to the Manager.
  • Using the MICAD Room Booking System to prevent double bookings.
  • Cancelling and adjusting room bookings to accommodate priority meetings.
  • Serving as the first point of contact for visitors, ensuring a welcoming, courteous, and professional attitude.
  • Ensuring visitors sign in/out and are provided with identification as needed.
  • Contacting staff to announce visitor arrivals.
  • Carrying out reception duties and email correspondence promptly and accurately.
  • Preparing meeting rooms and ensuring AV equipment is operational.
  • Coordinating with the Logistic Team for room setup and layout adjustments.
  • Processing parking payments and liaising with the Help Desk Team about new payments.
