The Greater London Authority is seeking a highly organised and proactive Executive Assistant to provide high-level support to senior leaders within the People Function, including the Interim Assistant Director of People, Heads of Service across Strategic Resourcing & Engagement, and the Executive Director of Corporate Resources & Business Improvement.
This is a pivotal role within a fast-paced and high-profile directorate that delivers key corporate services and supports the ongoing development of People services across the GLA.
We are looking for a professional individual with excellent organisational skills, strong attention to detail, and the ability to build effective working relationships with a wide range of stakeholders.
3-month contract with the possibility of extension.
Location: City Hall, London (within walking distance of Canning Town Underground Station and Royal Victoria DLR Station) Hybrid working arrangements available.
About the Role
As Executive Assistant, you will play a key role in supporting senior leaders and ensuring the smooth and effective running of executive activity.
You will manage complex schedules, coordinate sensitive communications, maintain governance processes and act as a key point of contact for both internal and external stakeholders.
This position offers an excellent opportunity to work closely with senior leadership, gain valuable strategic exposure and contribute to the delivery of the GLA's People Strategy.
Key Responsibilities
- Provide high-level Executive Assistant support, including complex diary management, inbox management and meeting coordination.
- Prepare briefings, reports, presentations, correspondence and other documentation for senior leaders.
- Coordinate governance and compliance processes, including Freedom of Information requests, Mayor's Questions and related activities.
- Support financial administration processes, including purchase orders, budget monitoring and Ariba transactions.
- Ensure consistency and accuracy across processes, documentation, records and approval workflows.
- Lead the organisation and ongoing maintenance of the People Function Share Point site.
- Act as a professional and responsive point of contact for senior internal and external stakeholders.
- Contribute positively to the wider Executive Support Team and support continuous improvement initiatives.
About You
To be successful in this role, you will have
- Previous experience providing executive support at senior leadership level.
- Excellent diary, inbox and stakeholder management skills.
- Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
- Exceptional written and verbal communication skills.
- Experience working with confidential and sensitive information with discretion and professionalism.
- Strong IT skills, including Microsoft Office applications and collaborative working platforms.
- Experience of governance, administration and coordination processes within a complex organisation would be advantageous.
- Experience using Share Point and financial systems such as Ariba would be desirable.
