Great Witley Surgery are looking to recruit a friendly, reliable and detail-oriented Dispensary Support Assistant to join our practice team. The successful candidate will be crucial in helping our dispensary team to work efficiently and safely.

Main duties of the job

  • Ensure prescriptions are handed out to patients in a safe manner, following all relevant guidelines and practice policies.
  • Help patients with their prescriptions and queries at the dispensary hatch.
  • Maintain organised systems throughout the dispensary.

Great Witley Surgery is a rural dispensing practice with a list size of 7,400 patients. At our last CQC inspection we achieved an overall status of 'Outstanding'. We have a clinical team of 4 GP Partners, 3 Salaried GPs, Pharmacist, 2 Pharmacy Technicians, 3 Practice Nurses, 1 Healthcare Assistant and 1 nurse associate. The practice is well supported by our teams of receptionists, administrative and dispensing staff. We pride ourselves on providing a caring and responsive service to our patients.

Job responsibilities

  • Handing out prescriptions
  • Carry out detailed checks in line with practice procedures
  • Retrieve prepared prescriptions from system.
  • Ensure FP10 prescription forms are accurately completed.
  • Process payments in line with up-to-date fees.
  • Assist with the processing of prescription requests made via phone, paper or online
  • Offer a friendly, professional, and confidential service to all patients.
  • Respond to medication-related queries from patients, carers, and external healthcare providers, referring clinical queries to appropriate staff when required.
  • Support vulnerable or elderly patients with clear explanations and additional assistance to promote safe and effective medicine use.
  • Book, cancel and amend patient appointments as appropriate, particularly where medication reviews etc are required.
  • Assist with ordering, receiving, and storing medications, ensuring stock rotation and minimising waste.
  • Monitor stock levels and expiry dates and restock shelves and dispensary storage areas as required.
  • Support with the management of controlled drugs in accordance with legal and practice-specific procedures.
  • Ensure all refrigerated medications are stored correctly and temperature logs are maintained accurately.
  • Maintain accurate and up-to-date records within EMIS Web, including dispensing information, batch numbers, expiry dates, and any relevant patient notes.
  • Complete documentation for NHS claims, dispensary checks, and financial reconciliation relating to dispensed items.
  • Ensure all paperwork and digital records meet regulatory and practice standards.
  • Comply with all Medicine and local practice regulations.
  • Support in regular dispensary audits and stock checks.
  • Follow all Standard Operating Procedures and contribute to updates or improvements when identified.
  • Uphold a high standard of cleanliness, organisation, and infection prevention within the dispensary area.
  • Collaborate closely with GPs, nurses, pharmacists, reception staff, and the wider clinical team to support seamless patient care.
  • Participate in team meetings, training sessions, and ongoing professional development activities.
  • Assist with the induction and support of new dispensary staff when required.
  • Maintain patient confidentiality at all times in accordance with GDPR and practice policies.

Person Specification

Experience

  • Experience of working within General Practice.
  • Experience of working within a Dispensary or Pharmacy setting.
  • Experience working on clinical systems such as EMIS Web.

  • Able to work effectively in a busy and fast-paced environment.
  • Strong attention to detail and high levels of accuracy.
