You will be a confident decision-maker, capable of taking charge of three distinct diaries and using the latest AI and collaboration tools to drive efficiency across your Deputy Directors' portfolios.The main duties and responsibilities of the Executive Officer would be to:* Management of three distinct diaries, managing conflicting demands and prioritising requests* Coordination of internal and external meetings and associated administration including booking rooms.* Monitor and triage inboxes filtering information and highlighting urgent actions.* Utilise all available collaboration/AI tools to ensure seamless information exchange, joining up business units and facilitating rapid, clear communication throughout the organisation* Act as the first point of contact with both internal and external contacts.* Build effective relationships with other EA’s to facilitate the smooth flow of work.* Arrange visits, including travel and ensuring opportunities are maximised to best effect including identifying meetings with key stakeholders as appropriate.* Manage admin systems including expense processing and raising purchase orders.* Maintain a gifts and hospitality register on behalf of the DD ensuring this feeds into the GPA register.PLEASE NOTE: CTC/SC Clearance is an essential requirement for this role, as a minimum you must be willing & eligible to undergo checks.
