THE ROLE & WHY IT EXISTS
As an Executive Assistant to the CEO you will be the CEO’s right hand, trusted to keep things running smoothly behind the scenes and ahead of schedule. You’ll provide high-level, proactive support in a fast-paced, high growth environment. This role is ideal for someone who thrives on ownership, discretion, and the opportunity to contribute meaningfully to strategic and operational priorities.
You’ll need to be five steps ahead, always. If you spot a “to-do,” it’s already too late. You’ll be expected to stay engaged, adaptable, and ahead of the curve, ensuring the CEO is always supported, wherever they are. In return, you\’ll be deeply embedded in the inner workings of a fast-paced, high-impact leadership team.
Urgency, discretion, foresight, and stamina are non-negotiable.
WHAT YOU WILL BE DOING Your daily to-do list will feature some or all of the following, but is not limited to:
- Managing the CEO’s Trello boards and complex calendar across multiple time zones – prioritising ruthlessly, rescheduling strategically, and never letting a conflict slip through
- Acting as the first line of defence – gatekeeping, filtering, and pre-emptively handling communications so only the essential reaches the CEO.
- Preparing briefings, materials, and agendas ahead of time – always ensuring the CEO is ready, informed, and ahead of the game.
- Monitoring and flagging key tasks, issues, and opportunities before they land on the CEO’s radar.
- Responding to requests and tasks with immediate action and accountability – no follow-ups needed.
- Managing high volumes of email traffic, documents, and sensitive information with discretion and sharp attention to detail.
- Coordinating seamless travel logistics with contingency plans in place ie flights, transfers, accommodations, visas, and meetings.
- Liaising confidently with senior stakeholders, clients, board members, and international teams on behalf of the CEO.
- Ensuring the CEO’s time is spent only where it matters – thinking ahead to eliminate inefficiencies or distractions.
- Supporting in special projects, research, and operational initiatives at lightning pace.
ESSENTIAL SKILLS The right candidate will possess at least the following skills, if not more:
- 5+ years of experience supporting senior executives, ideally in a fast-paced or high-growth environment
- Exceptional organisational skills – You live for structure, order, and bulletproof execution.
- Impeccable attention to detail – Nothing gets past you. Ever.
- Proactive mindset – You spot issues and opportunities long before others do, and take action.
- Sense of urgency – You move fast, prioritise smartly, and deliver under pressure.
- Absolute discretion and confidentiality -You’ll be trusted with the most sensitive information.
- Outstanding communication skills – Clear, concise, and professional in every interaction.
- Calendar and inbox mastery – Especially across international time zones.
- Tech fluency – Proficiency in Microsoft Office, Google Workspace, and modern productivity tools.
- Resilience and emotional intelligence – You can hold your own under intensity and remain unflappable.
- Availability and flexibility – The role doesn’t clock out; you’ll need to operate with agility across time zones.
