To be the Support Facilitator for a range of quality and governance projects and processes within the Imaging department for which the Deputy Service Line Manager is responsible. To assist in the delivery of the existing processes and compliance requirements within the Imaging Directorate by coordinating the multi‑disciplinary workforce involvement as required. To provide specialist quality and governance support to the Deputy Service Line Manager (Quality and Governance), modality leads, and Imaging senior management team as required. To provide support in the ongoing implementation and day‑to‑day management of Imaging governance processes as directed by the Deputy Service Line Manager and support developments in response to Trust requirements and national developments (i.e. PSIRF). To oversee the day‑to‑day management of the Quality Management system to ensure there is a robust review process in place for timely review of documentation and manage compliance mechanisms to demonstrate the department is working in line with local and trust‑wide policies.

To support maintaining oversight of key elements for the governance profile for the Imaging Service Line by monitoring the following:

  • Clinical Audit Register
  • NICE Guidance Register
  • Training and Competency Matrix
  • Patient Feedback
  • PALS, Complaints, Patient Surveys

Primary Duties & Areas Of Responsibility

  • Work with the Deputy Service Line Manager (Quality and Governance) in the assessment, reporting and escalation of effective quality and governance processes within the Imaging Service Line.
  • Support the delivery of governance improvement projects in the service line with oversight and support from the Deputy Service Line Manager and Service Improvement Manager.
  • Work closely and develop excellent relationships with Imaging staff at all levels, Care Group Level, Medical Physics and Trust Governance to understand needs, agree project objectives, develop safe processes and identify timeframes and assign ownership of tasks.
  • Work to time‑critical deadlines; liaising with key Imaging leads to identify concerns and provide resolutions within given timescales.
  • Produce and present complex governance and quality data and other information to multi‑disciplinary staff groups including clinicians, service users and radiographers. Including identification of themes for escalation to Deputy Service Line Manager.
  • Able to communicate and engage effectively with a wide range of staff including clinicians, specialist advisors, service providers and senior project leads, in relation to the quality and governance processes.
  • Have overall management responsibility for the Quality Management and Document Control System (Q‑Pulse) and oversee approval process for documentation with support of the Deputy Service Line Manager.
  • Provide training support to the staff within the Service Line in the use of the Q‑Pulse document control system.
  • Ensure all service line documents are reviewed and updated in a timely manner in line with UHP requirements.
  • Support the Deputy Service Line Manager in the delivery of all CQC requirements such as inspections, self‑assessments and engagement meetings.
  • Manage processes for reviewing and approving risks and incidents as reported on the Trust Datix system and ensure areas of concern are identified to the Deputy Service Line Manager for appropriate escalation via Trust frameworks.
  • Ensure that every learning opportunity, from any of the information sources available, is identified and escalated/highlighted accordingly.
  • To manage databases and spreadsheets for complex data analysis, compliance visibility and robust reporting including trends and themes i.e. NICE Guidance and Clinical Audit Register.
  • Provide support on the production of risk assessments, risk register information/data and the arrangements for the review of all risks, particularly those pertaining to equipment and facilities.
  • To work in conjunction with Deputy Service Line Manager with responsibility for quality and governance framework to support the Trusts regulatory requirements.
  • Co‑ordinate and respond to all Freedom of Information Requests on behalf of the Imaging Service Line by liaising with appropriate leads to collate required information.
  • Manage and respond to all PALS enquires on behalf of the Imaging Service Line and assist the Deputy Service Line Manager in the investigation of formal complaints.
  • To act as the nominated records lead within the service line.
  • Contribute new ideas to develop and deliver improvement projects within the Service Line, particularly those pertaining to quality, governance and equipment.
  • Manage working relationships with the modalities in the Imaging Service Line that focus on facilitating appropriate action so that department can demonstrate continuous improvement as part of daily activity.
  • Develop working relationships with external agencies who work in conjunction with the service line to ensure necessary support can be provided to the Deputy Service Line Manager when required.
  • Facilitate group agenda items that contribute to quality/equipment/project management agenda.
  • Contribute to the review of team procedures, performance and improvement projects.
  • Provide support to the Deputy Service Line Manager in the submission of relevant business cases as required.
