It is envisaged that the role of Customer Service & Fleet Administrator will be a vital role within the business, supporting the Fleet & Transport administration team in ensuring the day-to-day operations. The Customer Service & Fleet Administrator will assist the Team Leader in ensuring high levels of customer service delivery to customers. They will be responsible for achieving and exceeding personal targets and KPIs set and supporting the Team Leader in achieving the branch targets and KPI’s which will include maximizing vehicle availability, maximising the sales of ancillary products such as excess waivers, minimising costs, and delivering excellent and efficient customer service. This role requires a discreet individual who can maintain the confidentiality of the information they are exposed to; the Customer Service & Fleet Administrator will be able to work under pressure, a confident and driven professional, driven to succeed within their role.
Accountabilities:
- Deliver a high standard of customer service to both internal and external customers.
- Achieve individual targets and KPIs within agreed timescales.
- Escalate issues and concerns to the Team Leader where appropriate.
- Take responsibility for the care and proper use of company equipment and workstations.
- Maintain accurate customer records, files, and associated documentation.
- Adhere to all company policies and procedures, including Health and Safety requirements.
- Support the Team Leader in achieving departmental objectives and performance targets.
Role Overview:
Customer Service:
- Respond to customer enquiries promptly, professionally, and courteously.
- Handle telephone calls, emails, post, and other correspondence efficiently.
- Ensure all enquiries are dealt with on the day they are received wherever possible.
- Deal with customer complaints in line with company procedures.
- Follow-up with customers to ensure satisfaction with service after vehicle hire or repair.
- Provide high-quality customer service, meeting targets and KPIs.
Fleet & Claims Administration:
- Ensure vehicle availability and manage fleet efficiency.
- Arrange rental vehicles for retail customers as well as breakdown, insurance claims and dealership customers.
- Manage vehicle fleet to maximise efficiency.
- Maintain accurate and up-to-date customer, vehicle, and case records.
Operational Support:
- Assist in the smooth running of daily departmental operations.
- Adhere to company procedures for vehicle delivery/collection, insurance, and accident claims.
- Ensure compliance with health and safety regulations.
- Provide daily updates to the Team Leader and participate in meetings.
- Minimise operational costs while delivering excellent service.
Conditions of Employment:
- Permanent, full-time position.
- 35 hours per week.
- Six-month probationary period.
- 30 days annual leave (including statutory holidays).
