Job Role

Greet and welcome all guests and visitors to the Business, passing and directing all enquiries to the appropriate department or associate.

Whilst building a rapport with guests and establishing their needs quickly and efficiently to maximise their Guest Experience.

Acting as a Brand Ambassador, reflecting the brand image and standards at all times.

Key Responsibilities and Duties

  • Greet guests visiting or telephoning the dealership, making them feel welcome and direct them to the appropriate associate as soon as possible.
  • Manage dealership switchboard as required with a friendly, efficient and welcoming approach.
  • Log guest messages or complaints in the absence of the appropriate team members, ensuring information is accurately recorded and referred.

Ensuring the guest is reassured that appropriate action will be taken.

  • Maintain the reception/guest areas in accordance with dealership standards and identified guest needs.
  • Maintain adequate supplies of Guest hospitality stock and dealership stationery.
  • Process incoming and outgoing post, ensuring it is appropriately date stamped/franked in line with management requirements.

Ensure collection by the Royal Mail each day and that the franking machine is in credit at all times.

  • Maintain guest enquiry records/telephone logs in order to provide statistical information on guest visiting patterns as required.
  • Complete daily associate attendance sheet to maintain an accurate record of associates within the dealership.
  • Provide administrative support to dealership departments as required, including assistance with mail shots.
  • Maintain and develop Company and industry knowledge through attending relevant training opportunities.
  • Maintain quality standards of dress, attitude, guest care, honesty and health and safety in order to portray a professional image to guests at all times.

Successful applicants will possess and be able to offer

  • Previous Welcome Host/Reception experience is preferred, ideally within the motor industry
  • Have excellent communication, organisation and interpersonal skills with a professional and welcoming telephone manner
  • Have excellent administration skills, and the ability to prioritise multiple tasks and deadlines
  • Excellent literacy and numeracy skills
  • Passion and ability to deliver an outstanding guest experience
  • Respectful and courteous to guests and colleagues
  • Flexibility in approach
  • Honest with high levels of integrity and drive to succeed
