Job Type: Permanent / Full Time
The Operations and Commercial Coordinator will be responsible for:
- Preparing and submitting monthly valuations to clients; issuing invoices upon agreement.
- Pricing works and assisting the Contracts Manager in preparing and submitting tenders.
- Calculating job sales prices based on contractual rates for labour, subcontractors, and materials.
- Determining profit margins on billed work and reporting deviations from targets to management.
- Collaborating with the Finance Department for timely and accurate billing of all completed works.
- Supporting the Credit Controller in debt recovery efforts.
- Providing invoice backup documentation to clients upon request.
- Maintaining detailed cost records by supplier/vendor.
Procurement & Resource Coordination
- Liaising with the Procurement Team to source plant, equipment, and materials; assisting in raising purchase orders.
- Managing hired plant and equipment orders, ensuring effective stock control.
- Overseeing vehicle maintenance, arranging repairs, and coordinating replacements as needed.
Operational Oversight
- Maintaining daily records of completed work for invoicing and reporting.
- Organising staff schedules based on client requirements, availability, and operational priorities.
- Preparing and delivering job briefing sheets to operatives, ensuring clarity on job expectations.
- Supervising daily operations, monitoring progress, and reassigning staff as necessary.
Client & Stakeholder Engagement
- Communicating with clients to clarify job specifications and resolve account queries.
- Coordinating with public authorities to obtain necessary permits and permissions for road space.
- Leading meetings with clients and public bodies to discuss project-specific requirements.
Compliance & Quality Assurance
- Conducting site audits to ensure adherence to safety and quality standards.
- Reviewing and approving AutoCAD Traffic Management drawings.
- Installing and removing Traffic Management systems in compliance with Chapter 8 regulations.
Subcontractor & Team Management
- Instructing, briefing, and supervising subcontractors to ensure compliance with job specifications.
- Participating in training programs and continuously updating skills in line with the training plan.
- Performing general ground and winter maintenance tasks as required.
Documentation & Reporting
- Completing all necessary reports and documentation, including daily activity logs and instruction records.
- Taking responsibility for the care and use of vehicles, plant, and materials under your control.
Additional Responsibilities
- Adapting to undertake any other duties as directed by Senior Management.
- Being available for out-of-hours work when required.
- Demonstrating the ability to work independently and take initiative.
