As GRAHAM continues to grow, we are looking to recruit an Expenses Assistant to join our Finance team. This is a part-time, permanent opportunity, working circa 22.5 hours per week, however we can be flexible and are open to discussing exact working hours to suit the successful candidate. Based in our Hillsborough Head Office, you will work closely with a range of internal stakeholders along with the wider Finance team. This role offers the opportunity to contribute to a busy and collaborative environment, supporting the effective management of expenses processes across the business.
The successful candidate will have strong communication and organisational skills, with the ability to meet strict deadlines while effectively prioritising their workload. Excellent numerical ability and solid IT skills are essential, particularly in MS Excel. A keen eye for detail is key to success in this role and while experience within the construction industry would be advantageous, it is not essential.
The Expenses Assistant duties will include but not be limited to the following:
- Review and process employee expense claims verifying that receipts match the claimed value.
- Ensure claims comply with company policy.
- Review the VAT treatment of submitted expense claims to ensure they align with UK and Ireland regulatory requirements.
- Reconcile company credit card statements to the expense claims, investigating and resolving any differences.
- Answer employee expenses queries.
- Train employees in the use of the expenses system.
- Undertake any other duties which may be required by management.
This job description is intended to give the post holder an appreciation of the role envisaged for the Expenses Assistant and the range of duties to be undertaken. It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.
Competencies Essential
- Minimum of 5 GCSE's or equivalent including Maths and English (Grade C or above)
- Have a minimum of two years' experience in a similar role
- Possess strong communication and organisational skills
- Have the ability to work to strict deadlines, prioritising and planning workload
- Ability to manage sensitive data with complete discretion.
- Have excellent attention to detail
- Working knowledge of UK & Ireland regulatory requirements (eg VAT)
- Possess good IT skills and a working knowledge of excel
- Be a good team player
Desirable
- Knowledge of a construction environment
- Experience with automated expense management software like SAP Concur.
- Driving Licence
