A fantastic opportunity has arisen for an experienced Office Manager to join a successful and growing organisation on a fixed-term basis, leading a major office relocation and workplace transition project.
This is a varied, hands on role that combines office management, executive support, facilities management, employee experience, travel coordination, and project management.
You will play a pivotal role in ensuring a seamless move from two London offices into one larger, modern workspace while maintaining business continuity throughout.
Key Responsibilities Office Relocation Project
- Lead and coordinate a significant office move and workplace consolidation project.
- Manage timelines, vendors, stakeholders, logistics, and workplace requirements.
- Ensure a smooth transition with minimal disruption to day to day operations.
- Executive Support
- Provide dedicated Executive Assistant support to three Senior Leadership Team members.
- Manage complex diaries, meetings, travel arrangements, and itineraries.
- Coordinate expenses and provide administrative support as required.
- Board & Leadership Meetings
- Organise Board meetings and leadership events throughout the year.
- Coordinate venues, travel, accommodation, meeting materials, and logistics.
- Ensure events are delivered professionally and run seamlessly.
- Facilities & Office Management
- Act as the primary contact for facilities providers and workplace related matters.
- Oversee office supplies, maintenance, workplace resources, and operational issues.
- Support a positive and productive office environment.
- Health & Safety
- Own Health & Safety processes and compliance within the office.
- Maintain policies, documentation, and workplace safety procedures.
- Coordinate emergency planning and workplace security initiatives.
- Travel & Expense Management
- Support employees with travel bookings and related queries.
- Manage expense processes and provide guidance on travel and expense systems.
- Assist with corporate card administration.
- Events & Employee Experience
- Organise company events, social activities, team celebrations, and networking events.
- Coordinate offsites, workshops, away days, and departmental meetings.
About You
- Proven experience in Office Management, Workplace Management, or Operations.
- Previous experience managing office relocations, workplace projects, or large scale office moves.
- Strong Executive Assistant experience supporting senior stakeholders.
- Excellent organisational and project management skills.
- Confident managing multiple priorities in a fast paced environment.
- Experience with travel and expense platforms such as Concur would be advantageous.
- Proactive, solutions focused, and highly professional.
