You will be experienced in Audio typing/ dictation and Financial Services Estate Administration.
You will also be undertaking training and qualifications in Probate, Wills, Lasting Power of Attorney, Court of Protection, Severance of Tenancy and Property Transfers as part of your development.
This is a full time permanent position, based in hailsham.
Duties to include;
- Provide switchboard cover: logging calls, transferring calls, taking and forwarding messages.
- Meet and greet clients in a professional manner.
- Respond to client enquiries and provide information when appropriate.
- Manage the Director’s diary, including scheduling and coordinating appointments.
- Book client appointments and issue confirmation letters and packs.
- Schedule internal and external meetings.
- Prepare client files ahead of adviser meetings.
- Create new client files with dividers and template documents.
- Maintain and update client records on the CRM system
- Handle administration for clients’ properties.
- Set up tenant files and maintain accurate property records.
- Arrange quotations from tradesmen for repairs and maintenance.
- Arrange advertisements
- Liaise with tenants regarding check‑ins and check‑outs.
- Liaise with external letting agencies.
- Prepare tenancy agreements.
- Apply for references, guarantor information and credit checks.
- Manage court proceedings related to lettings, including preparing and maintaining court files.
- Provide administrative support to financial planners and paraplanners.
- Prepare and maintain client recommendations.
- Assist with preparation of reports and financial documents.
- Collaborate with advisers to ensure timely completion of financial recommendations.
- Assist with analysis of financial information to support financial planning.
- Maintain and develop knowledge of financial products and services.
- Send Letters of Authority to obtain information on clients’ existing plans.
- Chase providers and clients for required information.
- Communicate with clients to gather financial information and provide updates.
- Maintain accurate and up‑to‑date client records and databases.
- Ensure compliance with regulatory and industry standards.
