Quays Medical Practice is looking to recruit an experienced medical receptionist to join our busy and friendly practice in Briton Ferry. The practice is based in modern purpose-built premises on Baglan Energy Park which is easily accessible by private and public transport. The post is permanent. The successful candidate will be an enthusiastic, reliable and motivated team player to work within our small and friendly team. Ideally, you will have gained previous experience working within a GP practice, but we will provide training and support. NHS Pension scheme is available. Please note, employment at Quays Medical Practice precludes registration as a patient of the practice for the duration of employment.

Main duties of the job

  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the phone.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

Duties and responsibilities

  • Maintaining and monitoring the practice appointments system via askmyGP and Emis.
  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional.
  • Processing and distributing incoming (and outgoing) mail.
  • Taking messages and passing on information.
  • Filing and retrieving paperwork.
  • Processing repeat prescriptions in accordance with practice guidelines.
  • Actioning of path results and tasks.
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
  • Ordering, re-ordering and monitoring of stationery and other supplies.
  • Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter.
  • Undertaking any training required by the practice.

Person Specification

Experience

  • Minimum 2 years experience of working in a public reception or similar environment.
  • Experience of dealing with the public/patients.
  • Experience of working with Emis clinical system.
  • Experience of managing a busy and multi-skilled team schedule.

Qualifications

  • GCSEs English and Maths (grade C or above) or equivalent.
