Gorse Hill is an elegant mansion set in the beautiful countryside of Surrey surrounded by woodland and formal gardens, yet only minutes from the centre of Woking. Having undergone significant refurbishment, it now offers a dedicated 10,000sq ft ballroom, conference, meetings, celebrations and wedding venue, 67 bedrooms, serviced offices and guest gym, making this one of the prime venue choices in the Surrey region.

We are looking for a motivated and personable Conference, Sales & Events Coordinator to both sell and co-ordinate a variety of events including conferences, meetings, banquets and wakes. This role is ideal for someone with a passion for hospitality, sales and customer service.

Key Responsibilities

  • Handle and convert event enquiries from initial contact to confirmation
  • Conduct client show rounds and prepare tailored quotations and contracts
  • Act as the main point of contact for clients throughout the planning process
  • Co-ordinate all event details with hotel departments to ensure smooth delivery
  • Upsell accommodation, food & beverage and additional services
  • Achieve sales targets and maintain accurate records on hotel systems
  • Liaise closely with internal departments including operations, kitchen, front office and housekeeping to ensure seamless delivery
  • Coordinate event details such as room layouts, menus, timings, technical requirements and special requests
  • Ensure all event documentation is accurate and communicated in a timely manner
  • Attend key events where required to oversee smooth execution
  • Build strong relationships with clients, couples and families, providing a personalised and sensitive service where appropriate
  • Maintain accurate records on the hotel’s CRM and event management systems
  • Ensure all contracts, deposits and payment schedules are managed correctly
  • Comply with GDPR, health & safety and licensing requirements

Requirements

  • Previous sales or events experience within hospitality preferred
  • Excellent communication and organisational skills
  • Strong attention to detail and ability to manage multiple events
  • Customer-focused with a professional approach
  • Flexible to work evenings and weekends as required
