Junior non-key expert - event management
The JNKE for Event Management will be responsible for ensuring comprehensive preparation and smooth delivery of project events, as well as post-event reporting. This includes direct contact and coordination with service providers, travel agencies, and hotels, as well as overseeing all organisational and logistical aspects. The JNKE will work under the guidance and daily management of the Key Experts and in close cooperation with the entire project team.
The “Building a Close Relationship with the United Kingdom” project aims to strengthen ties and mutual understanding between the EU and the United Kingdom. The project focuses on fostering dialogue, collaboration, and public engagement through a series of events, campaigns, and communication activities.
What you will do
- Ensure the end-to-end preparation and organisation of all project events, including but not limited to invitations, venue selection, catering, logistics, and technical requirements.
- Serve as the main point of contact with service providers, travel agencies, hotels, and other external partners to secure necessary arrangements for events (e.g., accommodation, travel, catering, AV equipment).
- Coordinate and confirm bookings and contracts with venues, hotels, and travel agencies, ensuring quality and value for the project.
- Liaise with vendors and suppliers for all event-related needs, managing timelines and deliverables.
- Organise and supervise the transportation and setup of event materials, ensuring timely and efficient execution.
- Manage event registrations, guest lists, and distribution of promotional materials.
- Prepare and oversee the collection and organisation of printed and visibility materials before events.
- Create and maintain checklists for each event and update these as needed in consultation with the team.
- Track the inventory of promotional and informational materials.
- Contribute to planning and brainstorming sessions with the project team for new events and activities.
- Follow up with all suppliers and partners to ensure deliverables are met on schedule.
- Support the organisation of competitions and campaigns, including managing applications and logistical arrangements for jury sessions.
- Undertake any other event- or communication-related tasks as assigned by the Team Leader (Key Expert 1) and Public Diplomacy Kead (Key expert 2).
- Bachelor’s degree in communication, political science, international relations, or a related field.
- At least 3 years of professional (paid) experience in the sector.
- Excellent communication skills in English, both written and verbal.
- Good understanding of UK public sector, international projects, or EU/UK-funded initiatives.
- Strong attention to detail and organisational skills.
- Demonstrated adaptability, flexibility, and ability to multitask.
- Ability to stay calm and fix last-minute issues under pressure, as well as strong time-management skills.
- Proven experience in event management would be an asset.
We offer the opportunity to develop yourself in an EU-funded project while working with a team of highly motivated professionals in a truly diverse and multicultural organisation. Assignments are provided on an ad hoc and hourly basis, with a workload of cca. three working days per month. Remuneration is set at 300 EUR per working day.
