Position Summary

Reporting to the Executive Director, the Business Development Support Specialist provides administrative support and coordinates sales and business development activities, acting as a key support resource for the team. Through this central role, the incumbent contributes to the preparation of service proposals, the structured management of commercial documentation and CRM systems, performance indicator tracking, and the coordination of internal and external meetings. Their contribution helps ensure efficient processes and smooth communication among stakeholders.

Key Responsibilities

  • Sales Operations Optimisation
    • Organise, structure, and keep up to date all documentation and tools related to business development (templates, presentations, one‑pagers, summary sheets, upsell tools, etc.).
    • Structure and centralise service offers and templates to increase the efficiency of service offer production.
    • Update and maintain client databases and the CRM, ensuring the accuracy and consistency of information.
    • Compile, track, and update performance indicators (KPIs) related to sales and business development.
  • Sales Team Support
    • Draft, format, and coordinate the production of service offers and responses to tenders.
    • Coordinate timelines, follow‑ups, and status updates for service offers and business opportunities.
    • Ensure coordination between the business development team, project teams, and finance to adhere to opportunity lifecycle processes.
    • Prepare and coordinate sales/business development team meetings (agenda, documents, logistics).
    • Draft meeting minutes and ensure follow‑up on identified actions.
    • Provide general administrative support to the team to ensure smooth and efficient sales operations.
  • Strategic Market Monitoring
    • Support the identification of business opportunities and the strategic positioning of the organisation in its market.
    • Monitor calls for tenders, grant programmes, and opportunities relevant to the organisation.
    • Support the follow‑up, coordination, and logistics of events or commercial activities.
    • Contribute to the dissemination of strategic information within the sales team to support opportunity identification and upsell initiatives.
    • Produce monitoring tables and summary reports for the team and management.
    • Contribute to the continuous improvement of administrative and operational processes related to sales.

Required Qualifications

  • College diploma (DEC) or vocational diploma (DEP) in administration, office automation, management, or a related field. Any additional training in a relevant field will be considered an asset.
  • Minimum of three (3) years of experience in administrative support, coordination, or sales support role.
  • Excellent proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Comfort with collaborative tools (e.g., Teams, SharePoint, CRM systems).
  • Excellent written communication skills in French; functional English is an asset depending on context.
