The Audio Visual ("AV") Specialist is tasked with setting up, operating, and maintaining AV equipment for various events such as conferences and meetings. This role ensures the smooth and efficient functioning of all AV systems, providing technical support, troubleshooting, and high-level client service as needed. Responsibilities also include ordering supplies and scheduling vendor support for maintenance and repairs.
The AV Specialist oversees the overall service delivery, managing daily meetings and special events. They run reports, set and evaluate standards, and measure the AV service's performance, collaborating with the AV Services Manager. These reports are regularly submitted to the IT Director of Europe and Asia, and the Director of User Experience.
Additionally, the AV Specialist develops and implements firm-wide projects, coordinating with other departments and vendors. They also lead AV responsibilities for UK and EU retreats, town halls, and high-profile events, ensuring successful staffing and execution.
What You Will Do:
Provide support to the AV Manager and support personnel in the following tasks/responsibilities:
- Set up, operate, and maintain AV equipment such as projectors, microphones, video monitors, and sound systems.
- Provide on-site technical support during events, ensuring all AV equipment operates correctly.
- Troubleshoot and resolve AV equipment issues promptly to minimise downtime.
- Collaborate with event organisers to understand AV requirements and ensure all needs are met.
- Conduct regular maintenance and testing of AV equipment to ensure optimal performance.
- Train staff and users on the proper use of AV equipment.
- Maintain an inventory of AV equipment and manage equipment loans and returns.
- Stay updated with the latest AV technology trends and recommend upgrades or new equipment as needed.
- Monitoring of live meetings on video bridge for connection quality and performance.
- Guide local IT Support personnel on how to resolve incidents that could have been resolved during meeting setup period.
- Schedule all AV vendor preventative maintenance and break/fix repair work.
- Monitor firm ticketing system and emails for meeting support requests and alerts.
- Coordinate with vendors for the maintenance and the repair of equipment such as: microphones, videoconference, video recorders, projectors, lighting and sound equipment, based on feedback provided from IT support staff.
- Track assets and assess inventory of equipment making recommendations for replacements, upgrades, and ordering of supplies as needed.
- Analysing, diagnosing and resolving problems and coordinating the conversion and digitisation of the data.
- Contribute to the project submission and budgeting process through collaboration with the AV Manager & IT Director, Europe and Asia
- Ability to assist of project build outs requiring complete build out of new rooms and room systems.
- Act as a support side liaison between AV Support and other teams within IT including User Support, Enterprise Applications, Network Engineering, and Infrastructure, ensuring efficient ticket escalation, enhancing/creating useful tools to share knowledge and improve processes.
- Responsible for the tactical execution of major customer satisfaction management (CSM) efforts within the A/V Service with the guidance of the AV Services Manager & IT Director, Europe and Asia.
- Responsible for maintenance and updates of audio teleconferencing, video, presentation, and other AV hardware: including Acano, Cisco MCU video bridges, Cisco video codec, video formatting and recording devices, microphone technology and principles(wired and wireless systems), audio mixing technology and principals, AV switchers, cameras and Crestron room and remote control systems, Zoom, Cisco and HP/Poly technologies and audio amplifiers. Also, coordination of vendor service support when needed.
- Departments main contact with IT Infrastructure and Engineering team and/or vendors to perform occasional hands-on IT infrastructure hardware installation, maintenance, and repair as well as software troubleshooting, diagnosis, and remediation towards root cause.
Who You Are:
- 5 years AV experience with emphasis on presentations, videoconferencing, and meeting services within a corporate or professional services environment.
- CTS certification is a plus.
- Bachelor's Degree in Information Technology or related field experience.
- Experience of design and implementation of integrated AV systems.
- Interpersonal and communication skills required for effective teamwork and providing a bespoke service.
- Familiarity with network device configurations and IP protocols.
- Exceptional ability to effectively plan, prioritise, organise tasks applying and implementing project management skills to successfully complete projects by a specific deadline.
- Exceptional ability to problem solve/troubleshoot issues.
- Exceptional ability to provide a high level of customer service within a fast paced environment.
- Exceptional ability to effectively communicate to various levels of the organisation both verbally and in written form.
- Experience with Microsoft Office products (e.g. Word, Excel and PowerPoint).
- High level ability to effectively interact with end users to assist, educate and correct towards the appropriate use of equipment, utilisation of the conference room scheduling and booking tool, and other end user training types of activities as it relates to AV.
- Exceptional service management principles applied to the overall AV services towards the efficient delivery of services.
- Ability to adapt to emerging AV technologies, such as AI-powered tools.
- Familiarity with Digital Signage is a plus.
- Ability to read AV CAD drawings and signal flows.
Please note there will be occasional travel to firm and non-firm locations in support of AV responsibilities.
