This is a challenging and rewarding role that offers the opportunity to make a real difference. The Facilities Assistant – Apprentice will complete a Level 3 Business Administration Apprenticeship and provide essential administrative and operational support to help ensure our London office runs smoothly and efficiently. The role is full‑time (80% working hours) with a structured apprenticeship programme over 17 months.
What you will do:
- Assist with any facilities‑related service issues, ensuring they are resolved quickly and satisfactorily, including calling relevant vendors or support services and escalating ongoing matters as needed.
- Log and track all incoming requests via the facilities helpdesk, and escalate issues to the Facilities Coordinator or Senior Facilities Manager as appropriate.
- Support updates to the London office Building Management System (BMS) to help maintain a comfortable and consistent temperature across the workspace.
- Schedule and coordinate onsite maintenance teams and external contractors to carry out repairs and maintenance work.
- Assist with London facilities related invoices via Chrome River and liaise with Accounts Payable where necessary.
- Assist with onboarding and off‑boarding for all staff on OfficeSpace, Keynius locker system, and Ground Transportation Platforms (Uber, GETT Taxi, Addison Lee) for the London office.
- Help keep the iNet pages for the London office up to date and current.
- Assist the Facilities Coordinator, Senior Facilities Manager and Senior Office Administrator to produce the weekly London Office bulletin.
- Assist with site health and safety, acting as a First Aider and Fire Warden when required (full training will be provided).
Who you are:
- A minimum of five GCSEs with grades 9 to 4 (A* to C), including English and maths.
- Enthusiastic about building your career and beginning your apprenticeship.
- Professional, approachable and customer‑focused.
- Proactive and collaborative team player.
- Candidates must meet the eligibility criteria for a Level 3 Apprenticeship in England.
