We are recruiting a
Planner / Scheduler to coordinate appointments, visits and project completions, ensuring works remain on programme and key deadlines are met.
This role will involve regular communication with clients, operational teams and other stakeholders, making it ideal for an organised administrator who is confident managing multiple priorities and maintaining accurate project information.
The Role
As a Planner / Scheduler, you will be responsible for preparing, reviewing and monitoring appointments, visits and completions. You will ensure activities are scheduled effectively and delivered within agreed timescales, while keeping clients and internal teams informed of any changes or updates.
The role involves daily communication by both telephone and email and requires someone who is organised, proactive and comfortable working in a fast-paced environment.
Key Responsibilities
- Prepare, schedule and monitor appointments, visits and project completions.
- Ensure works and appointments are planned in line with agreed deadlines and timescales.
- Monitor progress and identify potential delays or scheduling issues.
- Liaise with clients and internal operational teams to coordinate activities.
- Maintain accurate and up-to-date scheduling records.
- Communicate changes and updates to all relevant parties.
- Make regular contact with clients, colleagues and other stakeholders by telephone and email.
- Manage multiple appointments and priorities simultaneously.
- Support the wider team with planning and administrative requirements.
- Ensure information is recorded accurately and in a timely manner.
- Escalate issues that may affect programme delivery.
- Help ensure projects and activities remain on schedule.
Essential Skills, Experience & Qualifications
- At least 2 years' relevant administration experience.
- Experience working in a planning, scheduling, coordination or administration environment.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to multitask and manage competing priorities.
- Confident communicating with clients and colleagues by telephone and email.
- Good IT skills and confidence using Microsoft Office.
- Experience using
- Microsoft Project or similar planning/scheduling software.
- Experience within construction, property services, housing, maintenance or a related environment.
- Understanding of building regulations.
- Previous experience working with appointments, works programmes or operational teams.
