This position within our Health & Safety team is perfect for a proactive administrator with exceptional organisational skills, strong attention to detail, and a passion for workplace well-being and compliance.

Working across our office and warehouse operations, you will manage end-to-end H&S administration, coordinating calendars, tracking certifications, processing purchase orders, and keeping compliance records audit-ready. You will collaborate with the H&S Officer, site teams, and third-party contractors to support a strong safety culture. Key duties include resolving safety flags, conducting routine workplace welfare and DSE checks, evaluating new suppliers, and assisting with ISO standards reporting to keep our operations efficient and compliant.

Responsibilities:

  • System & Records Administration: Maintain accurate, up-to-date health and safety records, compliance documentation, and risk assessments in line with organisational requirements and ISO standards (ISO14001, ISO45001)
  • Training & Competency Coordination: Schedule H&S training for field-based teams, promote a safety-first culture, and manage the skills matrix to record all certifications and qualifications.
  • Facilities & Workplace Compliance: Support office and warehouse facility management by carrying out routine fire safety, welfare, first aid, and DSE checks, promptly resolving system flags.
  • Supplier & Contractor Onboarding: Manage the subcontractor onboarding process, identify and evaluate potential new suppliers, and assist in processing departmental purchase orders and invoicing
  • Reporting & Data Collection: Conduct weekly H&S KPI reporting for internal stakeholders, collecting key operational data from vehicle checks, site inspections, and health surveillance assessments.


What you'll need to succeed

As a Health & Safety Administrator, you will be highly organised, dependable, and detail-focused. You will enjoy keeping processes running smoothly and feel confident maintaining precise documentation, handling routine checks, and spotting when details require immediate attention. You will understand the importance of accurate records and strict deadlines within a regulated operational environment.

You will be confident utilising digital systems, Excel, and management platforms like Opus to record data, process invoices, and track actions. With clear communication skills, you will be comfortable liaising with external contractors, coordinating staff training, and supporting team members across all levels of the business.

  • Strong organisational and administration skills with a proven ability to manage multiple priorities and deadlines
  • Strong attention to detail and a disciplined approach to documentation, compliance, and record-keeping
  • Clear written and verbal communication skills, with confidence dealing with contractors, internal stakeholders, and staff
  • Proactive problem solver with a dependable attitude and the ability to resolve routine workplace issues quickly
  • Proficient with standard office software, databases, and spreadsheets for tracking and reporting data
  • Able to follow established processes while identifying practical administrative improvements
  • A collaborative team player with a service oriented mindset and an interest in workplace safety and facilities support

Desirables:

  • Previous experience in a health and safety, facilities, or compliance administrative role
  • Familiarity with ISO management systems (ISO14001, ISO45001) or safety management software (e.g., Opus)

Hybrid working explained: When and where you’ll be in the office. Our office is based in Chippenham, Wiltshire. For this role, we’re looking for candidates who can come in to our Chippenham office, once a week. We offer both formal and informal flexible working options. This part-time role is 22.5 hours per week, worked across three full days, Monday to Friday. The role will also require attendance at our Chippenham office one day per week. The office is fully accessible, allowing everyone to participate fully in their working lives regardless of any mobility challenges. We promote work-life balance and flexibility through hybrid working, which combines both remote and office work.
