We are looking to recruit two exceptional candidates to the role of Alumni Engagement Assistant . This vital role will be the first point of contact for alumni, as well as having responsibility for alumni communications, engaging alumni with volunteering, and assisting with events., The Development and Alumni Office (DAO) is a small, dynamic team responsible for building a culture of support for Goldsmiths, whether that is through philanthropy, volunteering or advocacy. Our fundraising activities support highly impactful projects that change lives and even save lives, and that reflect Goldsmiths\’ values of civic engagement, social inclusion and educational excellence. Outstanding Goldsmiths projects and initiatives that we seek support for include the Migrant Futures Institute, Equity Awards, Alchemy, Goldsmiths Centre for Contemporary Art, Forensic Architecture , Student Hardship Fund and Goldsmiths Mentoring Scheme .The Alumni Engagement and Alumni Giving programmes aim to build relationships that inspire alumni, colleagues and friends to support Goldsmiths through volunteering, donations and gifts in Wills.The programme is led by the Head of Alumni Relations and Regular Giving with the support of an Alumni Engagement and Legacies Manager; Individual Giving and Legacies Officer; and 2, Reporting to: Head of Alumni Relations and Regular Giving (line manager) This post will also support the Alumni Engagement and Legacies Manager and Individual Giving and Legacies Officer with alumni engagement initiatives and projects Reports: No direct line reports but may occasionally be responsible for managing, Alumni services

Qualifications

The role would suit a highly creative individual with the ability to write compelling copy forexternal audiences, build strong relationships with a diverse range of individuals internal and external to the organisation, and with good initiative and problem-solving skills. You will bringrelevant work experience, which may be from the Higher Education or Not for Profit sector, or, Educated to degree level or equivalent. A, C Essential Criteria 2 – Experience Relevant work experience, particularly from a communications or customer/supporter relations role. A, I, R Experience of writing compelling copy for external audiences, such as in emails, A, I, R newsletters or reports. Experience of building relationships with a diverse range of internal and external A, I, R stakeholders. Experience of using social media. A, I, R Desirable Criteria 2 – Experience Experience of using an email marketing platform, such as Mailchimp. A, I, R, Experience of working with a Customer Relationship Management database, such as Raiser\’s Edge. A, I, R Experience of producing communications for external audiences. A, I, R Experience of working in the Higher Education or Not for Profit/charitable A, I, R sector. Essential Criteria 3 – Knowledge Demonstrable interest in a career in alumni engagement and alumni A, I fundraising. Demonstrable understanding of the role of alumni relations within a University. A, I Knowledge of Data Protection. A, I Essential Criteria 4 – Skills A high standard of spoken and written English with excellent attention to detail. A, I, T Ability to write professionally for a range of communications and able to tailor A, I, T communications for different audiences. Strong relationship building skills with a diverse range of internal and external stakeholders from all backgrounds. A, I High level of customer service skills with the ability to respond effectively and efficiently to email enquiries. A, I Competence with Microsoft 365 applications, particularly Word, Excel, and A, I, T Microsoft Teams. Excellent ability to plan, organise and prioritise own workload, meeting required A, I deadlines. Ability to manage multiple tasks and work calmly and accurately under pressure. A, I, T Ability to respond to change and adapt to unexpected events and A, I circumstances. Able to work occasional evenings or weekends, or travel nationally if required.

Responsibilities

  • Act as the first point of contact for alumni by responding to email enquiries (managing the alumni inbox), and occasional telephone, postal and in-person enquiries, in an efficient and professional manner.
  • Provide alumni with advice and information on alumni benefits and services, such as access to the Careers Service or volunteering opportunities; connecting alumni with the relevant School within Goldsmiths; or responding to individual queries.
  • Host tours for alumni wishing to visit the campus.
  • Ensure all interactions with alumni are accurately recorded on the alumni database, Raiser\’s Edge.Alumni communications.
  • Assist with the alumni e-newsletter (up to 12 per year) by collating content, stories and images; drafting and editing articles; creating the e-newsletter in Mailchimp; uploading audience data; scheduling the newsletter and monitoring responses.
  • Regularly update the alumni pages of the website ensuring the latest alumni benefits and services are made available to alumni at all times.
  • Provide support to colleagues in the International Student Recruitment Team with events by sending out volunteer call outs to overseas alumni via Mailchimp; collating the content for the communications; creating online response forms; preparing the Mailchimp communication; uploading data and sending; and monitoring responses.
  • Assist colleagues with a newly launched alumni/student mentoring programme, supporting with email communications via Mailchimp to alumni inviting them to volunteer as alumni mentors, liaising with the mentors and recording mentoring data on Raiser\’s Edge.
  • Assist academic colleagues to help find alumni volunteers to act as speakers or take part in alumni panels by sending out alumni volunteer call outs via Mailchimp.
  • Ensure that alumni volunteers receive the highest standard of care and stewardship and that the time they give back is recorded on the alumni database.

Events

  • Assist with alumni, donor, legacy and stakeholder events as required.
  • Support with and attend Development and Alumni Office events as required.
  • Assist with the alumni stand at Graduation events twice a year, sending out graduation communications to new alumni, liaising with new graduates at the Graduation reception.

Data Management

  • Data management, gift administration and admin – Run data selection queries in the alumni database, Raiser\’s Edge to assist with the compilation of mailing lists or events lists, or the management of alumni data.
  • Assist with gift administration, such as sending thank you emails/letters or Direct Debit cancellation emails/letters.
  • Ensure all interactions with alumni and donors are accurately recorded on Raiser\’s Edge.

Administrative Support

  • Provide administrative support to the team as required.

Generic Duties

  • The post holder will be required to undertake any other duties as may reasonably be required.
  • The post holder will act as an ambassador for DAO and Goldsmiths at all times.
  • The post holder will at all times comply with the Data Protection Act, and College and Service information handling procedures.
  • The post holder will be aware of and aligned with Goldsmiths\’ Regulations, Strategy, and Objectives to work together to proactively advance Equality and Diversity.
  • The post holder will at all times help maintain a safe working environment by participating in training as necessary and following the Goldsmiths\’ Health and Safety Codes of Practice.
