Job Description
Business Administrators will provide administrative and operational support across the Design and Delivery team. This may include managing a shared inbox and calendar, coordinating tasks and actions between teams, organising meetings and events, creating engaging communications for stakeholders and customers, including the preparation of briefings and papers. They will help to coordinate operational activities across the team and in support of the design and delivery of learning products, support the delivery of projects and events, and assist with the planning, promotion and implementation of new initiatives and products, working alongside colleagues from across Government Skills and beyond. They will analyse and present data in support of evaluation activities and as part of standard governance reporting to senior boards and leaders. They will provide administrative support in the procurement of any required external learning or facilitation provision which may include raising purchase orders, booking venues and issuing calendar invitations to speakers, facilitators and attendees. They will liaise with stakeholders and suppliers to ensure design and delivery requirements are met. They will maintain accurate documentation, utilising project planners, tracking systems and other tools to ensure information is stored in line with guidance and to assist the Design and Delivery Team to manage projects effectively. Flexible support will be required by working across teams and may include involvement in the design and/or delivery of learning products as required, such as the facilitation of events or design of learning materials.
Responsibilities
- Undertake administrative duties such as managing a shared inbox, preparing papers and briefings and managing project plans whilst coordinating activities across teams as required.
- Oversee data and information management, ensuring documentation and records are up to date and stored in accordance with guidance.
- Liaise with suppliers, stakeholders and customers, building a broad network across government in support of the Design and Delivery Teams objectives.
- Support the design and delivery of training and events, both in‑person and virtual, in coordination with stakeholders and suppliers.
- Create engaging communications for stakeholders and customers.
Essential Criteria
- Strong organisational skills with high attention to detail and the ability to manage competing demands.
- Excellent written and verbal communication skills with the ability to tailor messaging as appropriate to different audiences, including for senior leaders.
- Confident in using a range of IT products and tools, for example Google Sheets/Excel, Google Docs/Microsoft Word, Google Slides/Microsoft PowerPoint, etc.
- Ability to coordinate activities across teams, building positive working relationships, whilst delivering priorities and projects within set timescales.
- Experience working with stakeholders and senior leaders from multidisciplinary backgrounds and professions.
- Flexible and adaptable to meet changing business needs and demands.
Desirable
- A background, interest or knowledge in learning and development design or delivery would be advantageous.
