We are looking for a resourceful and highly organized Executive Assistant to support our CEO in a dynamic, fast-paced, and multicultural environment. The ideal candidate is someone who has worked in a startup or hybrid work setting, is adaptable, and can manage day-to-day tasks with minimal supervision. Strong communication skills, good judgment, and a proactive mindset are key.

Key Responsibilities

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate domestic and international travel (flights, hotels, ground transport, visas, itineraries).
  • Prepare and process expense reports and handle basic administrative tasks.
  • Support meetings by preparing materials and following up on action items.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Provide general administrative and project support as needed.
  • Flexibly adjust working hours when required to accommodate time zone differences.

Requirements

  • 2-4 years of experience as an Executive Assistant, Administrative Assistant, or similar support role.
  • Experience working in a startup, fast-growing company, or hybrid environment is preferred.
  • Strong verbal and written communication skills in English.
  • Proficient with productivity tools (Microsoft Office, Google Workspace, scheduling and expense tools).
  • Highly organized with good multitasking abilities and attention to detail.
  • Proactive, resourceful, and comfortable working independently.
  • Strong interpersonal skills and the ability to collaborate effectively with colleagues across different levels and cultures.
