What You'll Do
- Workplace Operations
- Oversee the day-to-day operational running of all UK office locations, ensuring all sites are safe, functional, well-maintained, and consistently presented to a high standard.
- Manage relationships with building management, facilities vendors, and service providers (cleaning, catering, security, maintenance, etc.).
- Maintain office supply stock (takes inventory, orders supply, and handles delivery) and manage local budget for orders.
- Maintain office equipment (phones, copiers, coffee machine, etc.) and schedule maintenance as needed.
- Ensure compliance with health & safety regulations, conducting regular audits and maintaining up-to-date documentation across all sites.
- Act as the main point of contact for on-site employees on all office-related matters, including providing concierge level service for all visiting executives and clients.
- Maintain local office alarm, building, and parking access controls.
- Act as local office fire warden (attend annual building training, maintain fire drill checklist, lead annual fire drill, etc.).
- Follow proper billing protocol to process monthly expense report.
- Provide support for the Workplace ticketing system.
- Manage UK sundry and social budgets, tracking spend and identifying cost efficiencies.
- Employee Experience & Culture
- Design and deliver a consistent, engaging employee experience across all office locations — from onboarding to everyday moments that matter.
- Lead the planning and execution of company-wide and office-specific events, including all-hands, team socials, seasonal celebrations, milestone recognition, and community initiatives.
- Champion the company's values and culture, developing programs and initiatives that bring them to life in a meaningful and authentic way.
- Manage internal and external client meetings (conference room setup, catering, clean-up).
- Partner with People Team, Internal Comms, and leadership to align culture initiatives with broader business goals and people strategy.
- Efficiency & Process Improvement
- Continuously review and improve workplace and operational processes to drive efficiency, reduce friction, and enhance the employee experience.
- Develop and maintain clear SOPs and playbooks for all core workplace and culture operations, ensuring consistency across sites.
- Lead or contribute to cross-functional projects that improve how the business operates day-to-day.
- Travel Management
- Act as the primary point of contact for travel tools and transportation booking enquiries, ensuring cost-efficient and employee-friendly solutions.
- Manage ground transportation booking as needed.
- Support employees with travel queries, escalations, and complex itineraries as needed.
- Keep abreast of travel risk and duty of care obligations, ensuring the company meets its responsibilities for employee safety while travelling.
About You
- Around 5 years of experience in a workplace, office management, people operations, or culture-focused role, ideally within a multi-site environment.
- Proven track record of managing office portfolios and delivering high-quality employee experiences at scale.
- A natural people-person with strong interpersonal skills and the ability to build trusted relationships at all levels of the business.
- Highly organised with exceptional attention to detail and the ability to juggle multiple priorities simultaneously.
- Strong written and verbal communication skills, with the ability to engage and influence stakeholders across the business.
- Commercially minded, with experience managing budgets and vendor negotiations.
- Experience with workplace technology and ticketing systems.
- Knowledge of health & safety, ESG, and CSR best practices is desirable.
