JOB DESCRIPTION

GMB are seeking applications from individuals for the position of Senior Administrator to be based at National Office.

A vacancy has arisen for the position of Senior Administrator based in the GMB’s National Office. The successful post-holder will support the project management and delivery of the priorities of the General Secretary through close collaboration with the Head of Delivery.

As Senior Administrator you will:

  • maintainthe smooth and efficient running of the General Secretary’s office throughproviding high-quality and dynamic administrative support to the General Secretary and the General Secretary’s office.
  • Workcollaboratively and independently with colleagues across departments and Regions, lay leaders and representatives, to support the multi-facetedpriorities set by the General Secretary.
  • Provide administrative support to the General Secretary, including complex diarymanagement, dealing with highly sensitive issues on behalf of the General Secretary, taking notes and minutes of internal senior meetings, as well assensitive political correspondence, ensuring issues are kept accurate andconfidential.
  • Arrange events, take minutes at meetings, circulate those minutes, track actionpoints and priorities, co-ordinate training days, both for staff and layleaders, which can include booking a conference venue, overnight accommodation,and buffets.
  • ExcellentIT skills with a broad knowledge of all Microsoft 365 applications includingWord, Excel, Email, One Drive, SharePoint and able to use the Internet forretrieving information. Good knowledge of People HR and extensiveknowledge of the GMB membership system.
  • Excellentadministration and organisation skills.
  • Excellentcommunication skills both orally and written.
  • Theability to produce work to a high standard ensuring accuracy and showingattention to detail.
  • Theability to work without direct supervision, use of own initiative essential andmust be prepared to use own judgement to escalates issues to someone more senioras and when required.
  • Tomanage and prioritise own workload effectively, and to manage and coordinatethe teams diary events.
  • Discretionand confidentiality.
  • Highlyproficient in resource allocation, diary management, note taking, sustained maintenanceof ongoing projects.
  • Abilityto exercise initiative in dealing with problems and identifying solutions.
  • Theability to prioritise the workload and meet strict deadlines, often underpressure.
  • Flexibility,adaptability and enthusiasm.
  • Goodteamwork and interpersonal skills.
  • Abilityto exercise empathy.
  • Abilityto work under pressure.
  • Experienceand extensive knowledge of the GMB, good knowledge of the Trade Union Movement.
  • Thepostholder must be flexible and prepared to carry out any reasonable delegatedtasks that may be given to them.
