The Opportunity
Our client is a highly respected and long-established building services contractor with a rich heritage spanning more than 260 years. Operating across Building, Mechanical & Electrical, and Maintenance divisions, they deliver a comprehensive range of services to some of London's most prestigious and historic buildings. Due to continued growth, they are seeking an organised and proactive Help Desk Administrator to join their Maintenance team based in Central London. This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys coordinating multiple tasks while providing exceptional support to operational teams and clients.
Key Responsibilities
- Provide administrative support to Contracts Managers and the wider maintenance team.
- Schedule and coordinate reactive maintenance works and help desk call-outs.
- Maintain accurate records, databases, and spreadsheets in line with client requirements.
- Monitor and maintain holiday and absence records to support workforce planning.
- Create and maintain asset registers within the CAFM system.
- Produce and update Excel-based reports and trackers.
- Process and maintain financial records including invoices, credits, interim applications, final accounts, and VAT documentation.
- Support contract-specific financial administration processes.
- Prepare financial reports and spreadsheets for internal and client use.
- Collate and prepare information and figures for client meetings.
- Undertake general office administration duties as required.
About You
To be successful in this role, you will have:
Essential
- Minimum of 2 years' experience in an administrative or help desk support role.
- Strong organisational skills and excellent attention to detail.
- Excellent verbal and written communication skills.
- Strong literacy and numeracy abilities.
- Confidence working with multiple stakeholders, including clients and suppliers.
Proficiency in:
- Microsoft Excel
- Microsoft Word
- Microsoft Outlook
- Internet-based systems
Desirable
- Experience within a Maintenance, Facilities Management, or Building Services environment.
- Experience using CAFM systems.
- Knowledge of Microsoft PowerPoint.
