Job Overview

Administrative, financial and secretarial support to the County Lead Volunteer, County Chair and County team.

Flexible, adaptable and a team player; responsibilities include preparing for meetings, taking notes, processing invoices, booking external venues, using our systems and liaising with staff.

Salary and Working Hours

Wage: £8,320 to £13,218.40, depending on age.

Hours: 20 hours a week, normally 4 mornings (excluding Wednesdays). Includes a 12‑month handover period and some evening meetings with flexible hours.

Duration: 1 year 9 months.

Key Responsibilities

  • Assist the County Lead Volunteer and County Chair with administrative support to ensure high‑quality service for key stakeholders.
  • Serve as a central point of contact for members, public, local authorities, funders and external agencies, including liaison with Scout Headquarters at Gilwell Park.
  • Review email inboxes, handle and respond to queries promptly.
  • Use Microsoft Office to prepare, write and send correspondence.
  • Use Xero finance applications for bookkeeping transactions and financial reporting.
  • Maintain online systems for governance of county office records.
  • Take notes at Trustee Board meetings and District Lead Volunteer meetings as required.
  • Perform other duties assigned by the County Lead Volunteer or County Chair.

The apprenticeship includes specialist training and study to gain professional knowledge and skills.

  • Provide a positive customer experience through advanced questioning, listening, summarising and negotiating mutually beneficial outcomes.
  • Manage challenging situations within authority and recommend change.
  • Use clear explanations and options to influence customer decisions.
  • Explore and interpret the customer journey to inform improvements.
  • Maintain a cost‑conscious mindset.
  • Identify highs and lows of customer experience emotions.
  • Communicate complex information in a user‑friendly format.
  • Gather customer feedback, analyse and act upon it.
  • Identify potential customer needs and expectations.
  • Maintain positive relationships even when outcomes differ.
  • Analyse end‑to‑end service experience and support solution development.
  • Recommend and implement improvements aligned with legislation and best practice.

Qualifications

GCSE Maths (grade 4) required. Share other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect existing knowledge.
