Position Summary: The Sales Operations executive supports accurate, efficient, and compliant data management across our beauty retail distribution. This role manages master data, maintains product information, oversees retailer submissions, and ensures the integrity of all data used for inventory, operations, and retail partner onboarding. Working closely with supply chain, commercial, sales, marketing, and brand partners, the Sales Operations executive ensures the business has reliable data to support launches, replenishment, and retailer requirements.
Key Responsibilities:
- Master Data Management: Maintain and continuously update company master data across all systems and databases. Request, collect, and follow up with brand partners to obtain missing or updated master data. Create missing EAN/GTIN codes using GS1 tools. Keep product compliance folders up-to-date and request or chase packaging and waste data from brands, including breaking down products to obtain the correct compliance information. Helping to update relevant Masterdata on Sage as required.
- Retailer Forms, Item setups & portals: Complete all retailer New Line Forms (NLFs) and digital/online enrichment forms. Submit NLF and product information through retailer portals such as Boots PIM, Holland & Barrett, Sephora, Next, Debenhams, Cloud 10, and others as required. Ensure timely and accurate execution of retailer-specific product setup requirements, naming conventions, file formats, and deadlines.
- Operational Data Support: Enter, update, and verify product data including SKUs, descriptions, pricing, pack sizes, ingredient lists, compliance notes, images, and supplier information. Prepare updated line sheets, catalogues, product data files, and pricing updates required by retail partners. Collaborate with supply chain, purchasing, sales, merchandising, customer service, and warehouse teams to confirm product information and resolve discrepancies. Data analysis to support the team e.g. Retail sales tracking.
- Quality Assurance & Compliance: Perform routine audits to ensure accuracy of product and inventory data across ERP, PIM, and retailer systems. Ensure compliance with cosmetic labelling standards, ingredient accuracy, and data governance policies. Maintain detailed documentation of all product data changes for audit and compliance requirements.
- Data Analysis support for the Team: Various Data Analysis on SKU data for the team as required.
Qualifications:
- Min 3 years of experience in data entry or product information management, ideally in retail distribution, beauty, or consumer goods.
- Strong understanding of retailer onboarding requirements and health & beauty product data structures.
- Knowledge of GS1 standards and barcode/EAN creation.
- Excellent organizational skills, accuracy, and attention to detail.
- Strong cross-functional communication abilities.
Preferred Skills:
- Familiarity with health & beauty product categories, ingredients, compliance, and commercial terminology.
- Advanced Excel skills (pivot tables, XLOOKUP, data validation).
- Experience with retailer portals such as Boots PIM, Next, Debenhams, Cloud 10, Holland & Barrett, or Sephora.
- Understanding of health & beauty labelling and regulatory requirements.
- Experience with PIM/DAM systems for managing product data and digital assets.
Work Environment: Hybrid working environment – 3 days office, 2 days work from home. Frequent collaboration with sales, marketing, finance, supply and order teams.
