Role Overview

The Administrative Officer–Hub serves as a key administrative and logistical support for DRC operations. Reporting to designated supervisors, the officer ensures efficient office management, coordination of travel and events, and compliance with organizational policies. Core Responsibilities

  • Financial and Procurement Support: Prepare and process payment requests (PRs), monitor budgets, and ensure adherence to DRC procurement procedures. Support the management of rental agreements, staff housing, and utility payments, maintaining documentation for compliance and timely renewals.
  • Event and Workshop Coordination: Plan, organize, and manage workshops, trainings, and meetings, including booking venues, arranging materials, and coordinating participant logistics. Provide on‑the‑ground support during events to ensure smooth operations and positive participant experiences.
  • Team Collaboration and Communication: Serve as the primary point of contact for administrative inquiries within the hub, supporting both national and international colleagues. Candidate Requirements

  • Education and Experience: Minimum of a high school diploma or GED; a bachelor’s degree from an accredited institution is preferred. At least two years of hands‑on experience managing administrative and logistical functions in an INGO or international setting.
  • Skills and Competencies: Proven ability to manage multiple administrative priorities independently while maintaining accuracy and confidentiality. Experience with ERP or financial systems (e.g., Dynamics, SAP, QuickBooks) for administrative or travel‑related transactions. Strong organizational skills, attention to detail, and the ability to work under pressure. Excellent interpersonal and communication skills in English; fluency in additional languages is an advantage.
  • Specialized Experience: Coordinating complex travel logistics and visa processes for multiple staff members simultaneously. Planning and executing workshops, meetings, or training sessions with logistical precision. Managing administrative processes related to procurement, payroll, and office maintenance.
