We are looking for an experienced, hands-on Operations Executive who thrives on detail and has a passion for delivering excellence.
What you’ll be doing…
- Management of the general events inbox and assisting with client enquiries
- Oversee weekly delegate registration approvals for assigned events
- Processing of all post event expenses for conference speakers
- Responsible for onboarding new suppliers
- Management of the global supplier list, adding new suppliers and conducting research into services and setting up demos
- Assisting with the end-to-end management of our dedicated event App
- Setting up each event platform, uploading client information and assisting the Ops leads with forward and onsite planning
- Assisting with event registration and lead capture services for sponsors
- Supporting with venue sourcing, completing venue brief sheets for ops leads to conduct searches and preparing digital presentations for new venues
- Marketing admin support, creating and sending out emails, coordinating with the website team to upload sponsor and event photography
- Responsible for ensuring the Ops cupboard in office is kept tidied and inventory list updated
- Act as second ops support for larger scoped events (International travel required)
What we’re looking for…
- Minimum of 1-2 years’ experience in B2B commercial events, preferably conferences, exhibitions, awards or 121 meetings formats
- Excellent time management and organisational skills with experience of reporting on activity
- High level of IT competency, including Word and Excel
- Excellent interpersonal skills
- Meticulous attention to detail
- Process driven, resilient and resourceful to deliver successful events
- Ability to prioritise, plan and organize workload often with conflicting time constraints
- Our events are delivered in person, candidate must be prepared to travel internationally (long haul including USA)
- Flexible team player, with ability to work under pressure
