About the Role
We're looking for a highly organised and proactive Team Assistant to support the smooth day-to-day running of the Capital team on a part‑time basis. The role is focused on delivering high‑quality administrative support, keeping priorities moving, and ensuring confidential processes are handled accurately and on time. A core priority will be managing presenter invoices, alongside wider team administration, meeting coordination, and support for key team activity. You'll be a clear communicator, a confident organiser, and someone who works efficiently in a fast‑paced, collaborative environment. You'll be comfortable managing a varied workload, prioritising effectively, and balancing responsibilities within a part‑time working pattern.
Key Responsibilities
- Manage presenter invoices as a top priority, ensuring accurate and timely processing and appropriate follow‑up where needed
- Support finance administration, including raising purchase orders, processing expenses, and tracking approvals
- Schedule and coordinate internal and external meetings, including booking meeting rooms, AV equipment, and refreshments where required
- Prepare agendas, take minutes, and track follow‑up actions
- Arrange travel and accommodation for team activity
- Provide day‑to‑day administrative support across the team, ensuring agreed priorities are delivered efficiently
- Provide administrative support for big team projects such as Capital's Summertime & Jingle Bell Balls, charity campaigns, and breakfast show‑led activity
Team Coordination & Communication
- Act as a reliable point of contact for day‑to‑day team coordination
- Coordinate guest invitations and support visits from external stakeholders and talent
- Work closely with internal teams and external contacts to keep activity organised and on track
- Support ad‑hoc requests, ensuring workload is managed effectively within a part‑time working pattern
