Your New Role: Business Support Administrator

The Business Support Administrator will work within the Global Outdoor Operations team, supporting the delivery of major CAPEX projects, and report to the Senior Project Manager. This role will have exposure to the Programmes team environment, project management and project delivery, governance, administration, coordination, and activities that aid in delivering projects, such as planning, tracking, and reporting. This role is ideal for a detail-oriented professional who thrives in a fast-paced, multi-contract environment and can support high standards of documentation and compliance across the programme.

As a Business Support Administrator at Global, you will:

  • Oversee project-related documents through Asite Adoddle, ensuring systematic storage and tracking across NEC4 contracts.
  • Implement processes to enhance efficiency.
  • Provide reports to the Senior Project Manager and stakeholders, documenting control aspects, statuses, compliance checks, version tracking, and outstanding actions.
  • Conduct high-level quality checks on documentation before acceptance and submission.
  • Enforce document control procedures in alignment with established standards and guidelines, maintaining consistency across parties.
  • Perform audits of documentation to ensure accuracy and compliance, identifying improvement areas.
  • Attend required project and programme meetings, capture key points and actions, and circulate them to relevant stakeholders for record-keeping and action.
  • Regularly follow up on and escalate issues or inaccuracies to the Senior Project Manager.
  • Perform regular and proactive reviews of project trackers and action lists to ensure continuous progress on outstanding items.

What You'll Need:

  • Preferably at least 2 years of experience being in a document control/co-ordinator/project or business administrator position.
  • Exceptional organisational skills with high attention to detail, ensuring accuracy of maintaining project and meeting records, and compliance for storing, circulating and managing the flow of project documentation.
  • Strong communication skills to build effective working relationships with the Global project team and contracting partners, fostering a collaborative approach and enabling regular reporting to the Senior Project Manager.
  • Ability to manage multiple document control and project administration tasks efficiently, proactively resolving issues to meet project timelines and quality standards.
  • Proficiency in MS office functions.
