We are looking for an organised and proactive Operations Assistant‑Scheduling to join our head office operations team. This role plays a key part in ensuring our operational teams are deployed effectively, and our clients receive the service they expect. You will help ensure the right people are deployed to the right locations at the right time. You will create and manage staff schedules, respond to operational changes and support the smooth running of our workforce planning activities. You will work closely with operational staff, management and clients to ensure schedules are accurate, compliant and communicated effectively. This role sits at the heart of our daily operations and requires someone who is comfortable making quick decisions, responding to last‑minute changes and keeping service delivery running smoothly in a fast‑moving environment. It also offers an excellent opportunity to develop experience in operational coordination and workforce planning within a growing security services organisation.
Role
- Full Time Hybrid: Office: Monday, Tuesday & Friday; Home: Wednesday and Thursday. Fully office‑based is also possible.
- Hours Weekly rotating shifts: Early shift: 07:00-16:00 Late shift: 10:30-19:30
Key Responsibilities
- Help ensure service delivery standards are maintained across all deployed sites
- Create and maintain staff rosters using the Timegate scheduling system
- Allocate personnel to sites based on client requirements and compliance standards
- Monitor daily schedules and make adjustments for absences, emergencies or client requests
- Act as a point of contact for scheduling queries from staff and clients
- Communicate schedule changes, shift allocations and site updates
- Ensure schedules meet working time regulations, licensing requirements and company policies
- Maintain accurate records of staff availability, holidays and overtime
- Support resourcing meetings and help align staffing supply with operational demand
- Monitor operational inboxes, support day‑to‑day operational activities, and assist with incident logging, reporting and escalation where required.
- Support recruitment, onboarding and documentation processes when needed
- Help maintain operational records and performance data
What We’re Looking For
- Previous workforce planning, scheduling or operational coordination experience within the security, events, logistics, facilities management or control room environments would be strongly preferred
- Strong organisational and time management skills
- Ability to manage multiple tasks and priorities in a fast‑paced environment
- Clear communication skills and confidence in dealing with staff, managers and clients
- Good attention to detail and accuracy with data and records
- Experience using spreadsheets (Google Sheets or Excel)
- Experience using workforce planning or scheduling systems (Timegate desirable)
- A flexible, resilient approach to changing operational demands
