We are seeking a highly organised, professional, and proactive Executive Assistant to support the Chief People Officer, Chief Financial Officer, and Chief Executive Officer in a dynamic, fast‑paced global commissioning company. The successful candidate will be responsible for providing high‑level administrative support while managing sensitive and confidential information. This role will involve coordinating executive schedules, booking client events, and facilitating corporate board meetings.
- Executive Support
- Manage and prioritise the daily schedules and calendars for the CPO, CFO, and CEO, ensuring optimal time management and coordination of activities.
- Organise and prepare materials for meetings, ensuring all required documents and presentations are ready for executive reviews.
- Provide executive-level administrative support, including managing emails, phone calls, and correspondence for the leadership team.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Corporate Board Meetings
- Coordinate and schedule corporate board meetings, ensuring all logistics, agendas, and documents are in place.
- Attend board meetings to take minutes, track action items, and ensure follow‑up.
- Communicate effectively with senior leadership and stakeholders to ensure that key decisions are documented and executed.
- General Administrative Duties
- Prepare, proofread, and edit correspondence, reports, and presentations for the executive team.
- Maintain an organised filing system for electronic records.
- Client Event Coordination
- Collaborate with internal teams to ensure smooth execution of events that align with the company’s strategic goals.
- Assist with event‑related preparations, such as compiling guest lists, managing RSVPs, and ensuring that event details are communicated clearly to all involved.
Qualifications and Experience
- Proven experience as an Executive Assistant or similar role, ideally supporting C‑level executives.
- Strong organisational skills and attention to detail, with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
