We are currently seeking a highly experienced, meticulous and resourceful Personal Assistant to join our Executive Office. As Personal Assistant to our Group Managing Director, you’ll play a pivotal role in supporting the smooth running of our executive operations. You’re not just an organiser, you’re a trusted partner, skilled communicator, and thoughtful gatekeeper, enabling our Group Managing Director to focus on strategic leadership by making the complex feel seamless. You’ll be representing the very best of Gleneagles, bringing warmth, discretion and precision to everything you do.

Responsibilities:

  • Owning and optimising our GMD’s calendar with exceptional foresight and care, coordinating internal and external meetings, appointments, and events.
  • Proactively adjusting priorities and plans to ensure time is always well spent, anticipating changes before they arise, navigating shifting priorities with calm confidence.
  • Reworking schedules, moving meetings, and reorganising commitments to ensure our GMD’s time is protected and purposefully spent.
  • Acting as the first point of contact for all communications to and from our GMD, handling sensitive and confidential information with discretion, diplomacy, and grace.
  • Drafting correspondence, presentations, and reports to the highest standard of accuracy and tone, preparing agendas, background papers and briefing notes.
  • Handling the planning and coordination of high-level events and board meetings with precision, discretion, and a flair for detail.
  • Supporting strategic projects and initiatives directed by our GMD, conducting research and preparing insight-driven reports and updates.
  • Designing and managing complex travel itineraries including flights, transfers, accommodation and visas, processing expenses and tracking related budgets.
  • Ensuring Executive Office excellence; maintaining order across files, systems and records, managing office supplies and services relevant to our GMD’s operations.
