Group Operations Executive Administrator
Salary: £28,000 – £32,000 (DOE)
Location: Birmingham (Full-time, On-site)
Type: Permanent
We are seeking an adaptable and experienced Group Operations Administrator to join a small but fast-paced team, supporting activities across the group marketing, operations and finance.
This is a varied and involved position ideal for someone who thrives in a detail-led, process-driven environment. You will act as the operational lynchpin for the organisation, ensuring admin functions run smoothly, client-facing content is accurate and polished, and internal systems are well maintained.
Key Responsibilities

Client & Operations Support:
Manage client records, coordinate bookings, and oversee workshop/event logistics. Respond to enquiries across email, phone, and multiple mailboxes while ensuring smooth day-to-day operations. -
Sales & Finance Admin:
Invoice clients, follow up on payments, reconcile book sales, process returns, manage discounts/promotions, and assist with expenses and basic finance tasks. -
Content & Marketing:
Prepare and schedule newsletters and social media posts (LinkedIn, Instagram), support podcast and PR activity, and contribute to website updates and maintenance. -
Logistics & Supplier Coordination:
Order and dispatch coaching materials, liaise with suppliers and distributors (e.g. FedEx), and track stock levels and fulfilment. -
Systems & Reporting:
Maintain digital filing systems, track expenditure and progress across projects, and support financial reporting as needed.
