Overall, Role and Responsibilities:
- Monitoring and managing the day-to-day departments under their control.
- Identifying areas for improvement to continually drive performance and business results.
- Control of purchase orders for all glass, aluminium and major electrical, electronic and assembly parts. Authorising, signing and approving as appropriate and in accordance with the Company’s agreed sign off limits.
- Authorisation and dispute resolution of Supplier invoices.
- Procurement of other company assets as required by the Directors.
- Negotiating and agreeing pricing contracts for the above items and service contracts (energy and waste) which are under the control of the Purchasing Department.
- Develop and manage relationships with key suppliers including site visits. Identifying new potential suppliers and performing supplier appraisal reports.
- Management and control of the approved suppliers list, issuing non-conformance notices when performance or quality falls below acceptable standards.
- Analysing procurement statistics and writing reports to assist the Board of Directors to understand the state of the commercial purchasing marketplace.
- Assist the team in providing Quality checking of glass as requested by Production, Glass QC and or Project Managers in accordance with the appropriate company/industry inspection criteria and standards.
- Forecast levels of demand for services and products to meet the business needs. Provide early warnings regarding stock and component shortfalls due to outside influences and market forces.
- Keep a constant review of stock levels to aid the above and identify obsolete and slow moving stock.
- Perform monthly, half-yearly and yearly stock takes of stock, reporting findings to the Finance Director.
- Help set and ensure agreed management targets and objectives are met for their department whilst setting and reviewing departmental budgets and managing their performance against cost.
- Arrange the training of departmental members to meet business requirements. Make sure that all staff under their responsibility receive the correct and adequate training to perform their tasks and that the training remains current and relevant.
- Measure staff performance including completion of company periodic assessments.
- Compose, review and improve the departmental processes and procedures to ensure that they meet the company’s needs, which will include planning and controlling change.
- Ensure that staff are familiar with these processes and that they are followed accordingly for the effective running of those departments.
- Work with Department heads and other senior managers to motivate and get the best performance out of staff.
- Assist the Operations manager to drive the business to maximise profits by optimising processes and minimising waste.
- Manage the glass database including updating manufacturers lead time times and issuing progress reports to the projects team.
- Maintain the glass (assembly) module in the Company OMNIS database (glass configurator).
- Sourcing and procurement of all outsourced bespoke steel requirements including specialist paint processes.
- Make sure that the company is not exposed to undue risk or issue by taking an active part in the company’s Health and Safety activities throughout the company premises and during staff visits to customer/vendor sites.
- Coach and monitor other members of staff identifying their training requirements.
- Any other duties as required to meet the needs/demands of the business.
