About The Role
As our HR & Payroll Coordinator, you'll be at the heart of our People team, helping to deliver a friendly, efficient and people-focused HR service across the Glass Atlas Group.
You'll work closely with managers, colleagues and external partners to keep our HR and payroll processes running smoothly, support our employees throughout their journey with us, and help create a positive experience every step of the way.
We're a growing business, so we're looking for someone who enjoys working in a fast-paced environment, takes pride in delivering great service and is happy to get involved in everything from day-to-day administration to supporting wider People projects and initiatives.
Key Responsibilities
The following should give you a flavour of how you will be spending your time.
It is not set in stone and it may change from week-to-week, but it gives an idea of what is expected from the role:
- Payroll & Pensions
- Coordinate the accurate and timely submission of payroll information to our external payroll providers, including new starters, leavers, contractual changes, pay amendments, pensions and sickness absence.
- Support the end-to-end payroll process by maintaining accurate employee records and ensuring payroll deadlines are met.
- Liaise with payroll providers and pension advisers to help resolve payroll and pension queries.
- Ensure payroll information is handled accurately, confidentially and in line with company procedures and relevant legislation.
- People & Lifecycle Administration
- Provide HR administration across the full employee lifecycle, from onboarding through to offboarding.
- Coordinate pre-employment checks, including right to work, reference and identity verification.
- Prepare and issue employment contracts, offer letters, contractual amendments and other HR documentation.
- Process promotions, transfers, salary changes and other employee updates accurately and promptly.
- Coordinate the leaver process, ensuring all documentation and system updates are completed.
- Liaise with employees and our IT support team to coordinate equipment requests and resolve any issues.
- Administer employee benefits and support colleagues with related queries.
- Support the recruitment process by liaising with candidates and hiring managers.
- Advisory & First Line Support
- Be a first point of contact for HR and payroll queries, managing the People Team inbox to provide a friendly, professional, responsive, and confidential service.
- Provide guidance on HR policies, procedures and employee benefits, escalating more complex matters where appropriate.
- Support employee relations activities as required, helping to prepare documentation and coordinate meetings.
- HR Systems, Reporting & Improvement
- Maintain accurate employee records within our HR system (we use People HR), ensuring data integrity, confidentiality, and GDPR compliance.
- Produce regular HR reports and people metrics, including information for monthly Board reporting and key performance indicators.
- Keep HR policies, procedures and documentation accurate, up to date and compliant.
- Look for opportunities to improve HR and payroll processes, helping to make them simpler and more efficient.
- Support internal and external audits by maintaining accurate HR records and documentation.
- Projects & Culture Support
- Support HR projects and wider People initiatives.
- Help create a positive employee experience by coordinating celebrations for birthdays, work anniversaries and other milestones.
- Assist with organising wellbeing activities, engagement initiatives and company events.
- Provide general support across the People team, taking on additional tasks where needed.
- Knowledge, Skills & Experience
Here’s an idea of the type of experience we’re looking for, along with an idea of what we think would be useful to also know:
- A minimum of 2 years experience in an HR or Payroll role.
- Good understanding of UK employment legislation, HR best practice and the employee lifecycle.
- Experience supporting payroll administration and liaising with external payroll providers.
- Strong administrative and organisational skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and a high level of accuracy when maintaining employee records and payroll information.
- Experience using HR systems (we use People HR) and Google Workspace ideally.
- Strong communication and interpersonal skills, with the ability to build positive working relationships at all levels.
- Ability to handle confidential information with discretion and in line with GDPR requirements.
- Proactive, adaptable and people-focused, with a willingness to identify and support process improvements.
- CIPD qualification (Level 3 or above) or equivalent HR experience is desirable.
