Glanville Consultants Ltd is seeking a Project Financial Coordinator to support the financial administration and coordination of a high volume of projects for a key client. This role focuses on ensuring that project financial administration is handled efficiently, including purchase order management, CRM updates, and invoice initiation. The successful candidate will play an important part in maintaining accurate project financial records and supporting smooth communication between internal teams and the client.

Key Responsibilities

  • Create and manage standard and bespoke fee estimates, working alongside technical project managers.
  • Request and follow up on purchase orders from the client to ensure projects can progress without delay.
  • Chase outstanding purchase orders and maintain clear records of communication.
  • Maintain and update the company’s CRM system with project and purchase order information.
  • Initiate invoices in accordance with project milestones and purchase order details.
  • Maintain project trackers and documentation to ensure accurate project records and progress monitoring.
  • When additional fees are required, contact technical managers to agree on additional PO requests and update the CRM system accordingly.
  • Obtain estimates from third-party suppliers, create POs, instruct work and sign off payment as authorised by the technical managers.
  • Support project managers with administrative tasks relating to ongoing projects.
  • Coordinate communication between internal teams and the client regarding project updates, purchase orders, and invoicing.
  • Assist with project planning, scheduling, and status updates where required.
  • Monitor project administration timelines to ensure deadlines and billing requirements are met.
