Glanua Ltd is a progressive organisation in the water and wastewater industry. Due to continued success in the business, the company is expanding with several dynamic and exciting roles. They seek a Document Controller to work on large-scale water and wastewater infrastructure projects. The role will be split between the site and the office based in Sheffield. The Senior Document Controller's / Information Manager primary focus is information management, which ensures the successful delivery of client requirements throughout all project phases. The role will be based in the Reading office.
The ideal candidate will manage all project information, ensuring accuracy, quality, and data integrity while enhancing digital project delivery processes for efficient projects. This role ensures seamless collaboration and communication between Glanua and all other stakeholders. The successful candidate will work within the Glanua digital delivery team to consistently achieve quality deliverables across the project portfolio. They must monitor the quality of information shared on the project CDE, ensuring all deliverables comply with the BEP. They must ensure all project stakeholders align with Glanua's digital delivery strategy. They will report on non-conformance and offer corrective guidance to the project team.
Primary Duties and Responsibilities:
- Document Control:
- Document Management: Maintain our process for efficient information management, tracking all incoming and outgoing project documentation within our cloud-based document management system.
- Quality Assurance: Ensure all documents meet the company's quality standards and project requirements.
- Document Distribution: Distribute information to relevant stakeholders, ensuring timely and accurate notification.
- Version Control: Manage document revisions and ensure the most current versions are available to the team.
- Archiving: Archive project documents per the company's document retention policies.
- Compliance: Ensure all documentation complies with legal, contractual, and company standards.
- Digital Delivery: Help set up, maintain, and manage the document management platform (CDE) for digital project delivery.
- Data Integrity: Ensure digital information accuracy, completeness, and consistency.
- Collaboration: Facilitate collaboration among project teams by managing information workflows and ensuring all relevant parties have access to the necessary data.
- Training: Provide training and support to project teams on document control procedures and guide best practice digital processes.
- Standards Compliance: Ensure all activities undertaken on the CDE during project delivery comply with industry standards and project requirements.
- Generate reports on document control and BIM information management activities for the senior management team and stakeholders.
- Workflow Setup: Develop and implement efficient information review and approval workflows.
- Review Processes: Coordinate and manage the information management review process, ensuring timely feedback and approvals.
- Permission Assignment: Assign appropriate access permissions to users within the CDE, ensuring data security and compliance are paramount.
- Data Compliance: Monitor and ensure compliance with CDE data management policies and procedures.
Knowledge, Skills, and Experience:
- Qualifications:
- Education: Bachelor's degree in information management, Construction Management, Engineering, or a related field is desirable.
- Experience: A minimum of three years of experience in document control, with at least one year of experience in BIM project environments.
- Proficiency in document control software (e.g., BIM 360/ACC, ProjectWise, Aconex, Procore, Viewpoint) and BIM tools (e.g., Autodesk Revit, Navisworks).
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Understanding the relevant Digital/BIM standards (ISO19650 or previously PAS1192) is desired but not essential.
