Position
Role Purpose
We seek a detail-oriented and proactive Commercial Assistant to support our commercial team in administrative, sales, and customer service tasks. This role is ideal for someone with strong organisational skills, a good understanding of business operations, and a keen interest in supporting commercial activities.
Accountability
- Support the Commercial Director in ensuring the enquiry process aligns with internal GEM procedures.
- Assist in maintaining discipline around the enquiry pipeline filter to ensure only suitable work is quoted, involving collaboration with the Business Development team.
- Log all approved enquiries into the system, ensuring all necessary forms are completed and clients are properly set up.
- Record and monitor receipt and return dates of enquiries and manage acknowledgments or declines to clients.
- Track and manage the enquiry list, flagging missed dates and unallocated tasks for follow-up.
- Help coordinate the timely preparation of Risk Reviews and Board packs by liaising with Estimators and the Business Development team.
- Maintain and update Quotation Templates to ensure accuracy and relevance, collaborating with Marketing and Business Development.
- Monitor and ensure consistent folder structure and document filing across the Commercial team.
- Keep system data such as enquiry status and key dates accurate to support KPI tracking and reporting.
- Ensure the Commercial Director reviews all incoming purchase orders and handles any required client feedback.
- Maintain records of contract terms and agreements, ensuring key issues are flagged and logged in Risk Registers or handovers.
- Process confirmed orders and create sales orders in the system.
- Assist in scheduling timely project handovers and ensuring all handover documentation is properly filed.
- Provide administrative support for Approved Vendor List (AVL) activities and client communications.
- Support diary management and general administrative duties for the Commercial Director.
Requirements
Person Specification
- Proven experience in a similar administrative or commercial support role.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and capable of learning internal systems.
- Ability to multitask and work independently in a fast-paced environment.
- Knowledge of sales, procurement, or contract processes is advantageous.
