As Office Coordinator, you’ll ensure the smooth daily running of operations while working closely with the Operations Manager and senior leadership. - Act as the first point of contact for clients and visitors – welcoming and assisting professionally.
- Maintain a tidy and well-stocked office, reception, and kitchen area.
- Manage calls and messages confidently with a professional and friendly tone.
- Support daily office operations, including mail distribution, stationery ordering, and IT issue reporting.
- Keep track of incoming documentation and ensure compliance with internal processes.
- Handle general admin tasks: scanning, photocopying, shredding, mailing.
- Act as the go-to person when negotiators are out, providing steady support across teams.
- Use a digital task system (e.g. Outlook To-Do) to stay organized and efficient.
- Upload and manage property listings accurately in internal systems.
- Create and update marketing materials: window cards, brochures, online listings.
- Assist with client correspondence on behalf of the sales and lettings teams.
- Register applicants when needed and ensure records are always accurate and complete.
- Track enquiry sources and archive property files when off the market.
- Coordinate ordering of photography, floor plans, and brochures.
- Maintain an up-to-date property window display.
- 1–2 years of admin experience, ideally in property, estate agency, or a similar environment.
- Confident, friendly, and highly organized.
- A reliable team player who takes initiative and ownership.
- Able to juggle multiple priorities while staying calm under pressure.
- Discreet with confidential information.
- Familiarity with property software (e.g., Reapit) is a bonus.
