To provide administrative assistance to the Head of Studio, support the day-to-day running of the Design Studio, and assist the Creative Director’s PA(s) with their tasks.

Job Responsibilities

  • Support Head of Studio in all aspects of Studio Management – diary management in conjunction with Creative Director’s PA(s), connecting departments, and facilitating communication across the business.
  • Coordinate and attend regular team meetings, taking notes on next steps and progressing agreed actions.
  • Prepare in-depth itineraries for travel for Creative Director’s PA.
  • Attend regular team meetings on behalf of the Creative Director, taking notes and advancing agreed actions.
  • Assist with liaising with high-level externals on behalf of the Creative Director and Head of Studio.
  • Collate expenses and submit for payment.
  • Liaise with the office team to ensure the studio is prepared and equipped for the Head of Studio.
  • Support Creative Director’s PA on daily ad-hoc tasks such as lunch, taxis, post, etc.
  • Prepare the Creative Director’s space/personal office in anticipation of their meetings ahead.
  • Coordination of the fitting schedule.
  • Support the design team in preparing for key steps: board presentations, organizing for collection reviews, sketch to fabrics, etc.
  • Attend monthly calendar meetings with Head of Studio to bring together all departments.
  • Support in liaising with stylist’s agent on a weekly basis or as situations change.
  • Work alongside Head of Studio to ensure Creative Director is involved in all critical studio meetings.
  • Assist Head of Studio in leading and updating monthly calendar meetings with various departments.
  • Support Head of Studio with model bookings.
  • Co-ordinate the pre-show schedule (hair, make-up, music, casting agents, etc.) with Head of Studio and Image/Press team.
  • Assist in co-ordination of the Studio schedule and liaison with all relevant actors (Designers, Product Developers, Studio, Merchandising and Sales).
  • Maintain constant and fluid communication between design, studios and all relevant business areas.
  • Collect, file and share seasonal documentation for filing & IP.
  • Schedule days for the stylist.
  • Liaise with the Brand Image and Communications departments to ensure smooth operation.

Profile

  • Previous experience in a Studio Coordinator role.
  • MAC & PC experience.
  • Proficient in MS Office.
  • Excellent grammar, spelling, written and verbal communication skills.
  • Able to work on own initiative.
  • Flexible approach to all aspects of the role and the needs of the business.
  • Well presented with a friendly and professional manner.
  • Maintains high standards with excellent attention to detail.
  • Highly discrete and demonstrates high level of empathy.
