At Gist, we're launching one of our newest logistics operations in partnership with M&S, and we're looking for an organised, proactive Engineering Administrator to help establish and support our brand-new engineering function. This is an exciting opportunity to join a site from the very beginning, working alongside our engineering leadership team to ensure everything behind the scenes runs smoothly. From coordinating maintenance records to supporting compliance and engineering planning, you'll play an essential role in keeping the operation organised and efficient. About the Role
As our Engineering Administrator, you'll provide administrative support to the Site Engineering Manager and wider engineering team, helping coordinate engineering activities, maintain accurate records and ensure key information is always up to date. You'll become the central point of coordination for the engineering department, supporting maintenance planning, managing documentation and helping ensure the site remains compliant, organised and operational.
What You'll Be Doing
- Providing day-to-day administrative support to the Site Engineering Manager and engineering team.
- Managing engineering documentation, records and filing systems.
- Maintaining engineering databases and ensuring information is accurate and up to date.
- Producing reports, spreadsheets and presentations to support operational performance.
- Coordinating diaries, meetings and engineering schedules.
- Taking meeting minutes and tracking actions where required.
- Managing incoming calls, emails and correspondence, ensuring queries are dealt with efficiently.
- Supporting compliance by maintaining maintenance records, certificates and engineering documentation.
- Acting as the first point of contact for visitors, contractors and internal stakeholders.
- Helping improve administrative processes to support an efficient engineering function.
What We're Looking For
- Previous administration experience, ideally within engineering, facilities, maintenance or a fast-paced operational environment.
- Excellent organisational skills with exceptional attention to detail.
- Strong communication skills and a confident, professional approach.
- Experience using Microsoft Office, including Outlook, Excel, Word and PowerPoint.
