About Girls I Rate

Girls I Rate (GIR) is a non-profit CIC founded by Grammy-nominated songwriter Carla Marie Williams MBE. We champion and empower women and girls in the creative industries through mentoring, training, advocacy, residencies and community programmes. As GIR continues to grow, this role supports the organisation by ensuring robust people processes, clear documentation, and effective administrative foundations, enabling the wider team to operate confidently and compliantly.

Role Overview

The HR & Operations Manager is a strategic support role focused on HR administration, recruitment coordination, onboarding, and core organisational administration. It provides structure, continuity and governance support, ensuring that GIR’s people processes, contracts, and documentation are well managed and fit for purpose. The role is suited to someone who is methodical, discreet, and experienced in organisational administration, with the confidence to work independently.

Key Responsibility Areas

  • Recruitment & Onboarding
    • Support recruitment processes when new roles arise
    • Draft and maintain role descriptions in line with organisational needs
    • Coordinate shortlisting and interview scheduling
    • Prepare, issue and file freelance contracts
    • Manage onboarding into systems, tools and shared folders
    • Ensure access permissions and documentation are set up correctly

    Purpose: Ensure smooth, consistent recruitment and onboarding experiences.

  • HR Administration & People Processes
    • Maintain accurate records for freelancers and team members
    • Support contract variations, renewals and offboarding processes
    • Maintain HR documentation, templates and trackers
    • Provide light-touch HR administrative support to the Founder
    • Support compliance-related documentation (e.g. policies, confirmations, records)

    Purpose: Maintain clear, compliant and well-documented people processes.

  • Organisational Administration & Documentation
    • Maintain core organisational documents and shared folders
    • Ensure templates, policies and records are up to date and accessible
    • Support document version control and filing
    • Assist with preparing internal summaries or administrative reports when required

    Purpose: Ensure GIR’s administrative foundations are organised and reliable.

  • Founder Support & Strategic Administration
    • Provide administrative support to the Founder on people-related and organisational matters
    • Translate strategic decisions into clear administrative actions (e.g. contracts, documentation, setup tasks)
    • Support continuity during periods when the Founder is unavailable

    Purpose: Enable strategic decisions to be implemented cleanly and efficiently.

  • Ad-Hoc Administrative Support
    • Support time-limited or one-off administrative tasks as agreed
    • Assist with meeting preparation, agendas or notes when required
    • Support coordination around specific organisational needs

    Purpose: Provide flexible, bounded support without ongoing delivery ownership.

Person Specification

Essential

  • Minimum 3 years’ experience in business operations, HR administration or organisational support
  • Strong experience supporting recruitment, onboarding and contract administration
  • Highly organised with strong attention to detail
  • Confident managing sensitive and confidential information
  • Comfortable supporting senior leadership
  • Proactive, reliable and able to work independently
  • Alignment with GIR’s mission, values and equity principles

Desirable

  • Experience working with freelancers or in a non-profit / CIC environment
  • Familiarity with GDPR, safeguarding documentation or compliance processes
  • Experience in the creative industries or youth sector
  • Confidence working with tools such as Google Workspace, ClickUp, Dropbox and shared drives
