Contract Permanent, part-time Hours 20 hours per week, Monday to Friday, 09:30hrs-13:30hrs Morning working pattern, with exact start and finish time to be agreed within the available morning hours once the candidate is fully trained Pay £13.25 per hour Role Overview We are recruiting an experienced Assistant Administrator to support a well-established professional services team. The role will provide dependable day-to-day administrative support, assist with workload and holiday cover, and help ensure client records, reporting and routine back-office processes are kept accurate and up to date. This position would suit someone who is organised, numerate and comfortable working with detailed information, spreadsheets, client records and routine administrative processes. The successful candidate will need to work accurately, manage their own priorities and provide a reliable level of support to the wider team. Key Responsibilities Financial Administration & Reconciliation • Reconcile daily banking information against provider or internal statements. • Assist with weekly payroll administration and preparation of supporting documentation. • Update payment, commission or trail information in Microsoft Excel on a regular basis. • Check figures carefully and identify any obvious discrepancies for review. Reporting & Management Information • Maintain key figures and update internal spreadsheets used for performance reporting. • Assist with the preparation of monthly KPI and management information reports. • Ensure recurring reporting tasks are completed accurately and within agreed timescales. Client & Back-Office Administration • Maintain accurate electronic client records and update servicing information when required. • Process new business information and update associated internal records or registers. • Create, maintain and organise both electronic and physical client files. • Manage routine post, scanning, filing and document administration. • Use internal CRM or specialist back-office systems to record and retrieve information. Client Reviews & Documentation • Support periodic client reviews and valuations by updating relevant client information. • Run standard reports through internal systems and prepare information for review. • Assist with preparing client-facing letters, review packs and supporting documentation. • Issue approved correspondence and documentation within required deadlines. • Maintain a high level of accuracy when handling confidential client information. General Administrative Support • Provide holiday and workload cover for other members of the administration team. • Support with general office administration and ad hoc tasks as required. • Communicate professionally with colleagues and, where appropriate, clients or external providers. • Help maintain organised and efficient day-to-day administrative processes. About You Previous experience in an administrative or back-office position is preferred. The role requires someone who is dependable, detailfocused and comfortable working independently on routine tasks. • Previous administration experience, ideally within a professional office environment. • Good working knowledge of Microsoft Word and Excel. • Strong attention to detail and a high level of accuracy. • Good numeracy and written communication skills. • Strong organisation and time-management skills. • Ability to prioritise tasks and manage your own workload. • Confident handling confidential or sensitive information. • Professional communication and customer service skills. • Experience within financial services, another regulated sector or a similar professional services environment would be advantageous. • Previous use of CRM or specialist back-office systems would also be beneficial.
