Job Description

This is an exciting opportunity for someone with experience of management of a Customer Services team, management of transactional processes (e. g.

Order To Cash), supply chain and distribution experience to be based in the Gilead UK office in High Holborn, Central London.

Essential Duties and Job Functions

• Ensuring maintenance of accurate pricing on Gilead systems with respect to national and local tenders or other pricing arrangements
• Management of the supply chain which includes order process and any associated queries concerning the supply chain.
• Ensuring timely and accurate reconciliations (including rebates) of pricing and revenue for homecare and outsource NHS distributors.
• Kite's orders and returns management in Oracle.
• Liaison with finance and other internal stakeholders to ensure appropriate internal and external controls and audit criteria are met
• Creates procedures with colleagues and documents them
• Liaison with external (e. g. NHS) customers to resolve supply issues
• Liaison with suppliers to ensure supply continuity and adherence to agreed processes and contracts
• Liaison with other internal stakeholders as a point of responsible contact
• Close working with the local Trade Relations, Customer Services and Finance teams.
• Complete routine inventory reporting and analysis, including NHS stock reporting and inventory performance monitoring.
• Monitor inventory levels across distribution channels and support stock balancing activities between 3PL and Dublin distribution centres to help maintain product availability.
• Assist with stock transfer order (STO) creation, tracking and administration to support supply continuity.
• Review sales, inventory and distribution data, providing regular reports and insights to support business decision-making.
• Maintain Trade Operations trackers, product catalogues and master data, ensuring product, pricing, inventory and customer information remains accurate and up to date.
• Support Trade Operations activities through data analysis, reporting and maintenance of operational dashboards and KPI reporting.
• Out of hours duties as required for the accountabilities above

Knowledge, Experience and Skills

• Patient and customer focussed
• Preferably has understanding of the NHS in terms of ordering and supply mechanisms
• Strong attention to detail
• Able to become quickly expert in financial and supply systems
• Able to work competently with Excel spreadsheets
• Able to become quickly expert in financial and supply systems, e. g. SAP
• Numerically able, and capable of pattern recognition in data
• Confident in discussion with customers, but able to push back if required for inappropriate supply requests
• Clear communicator, able to produce brief internal reports
• Has the judgement to know when to refer to senior colleagues and legal if appropriate.

We are pleased to share that Gilead's Stockley Park and Holborn offices are planning to come together at a new London headquarters at 1 Triton Square, NW1, from approximately Q2 2027.
